STATUS: Part Time (15-20 hours/week)
FLSA: NON-EXEMPT
EFFECTIVE: July 1, 2024
SALARY: $20 - $21.50 per hour, commensurate with experience
JOB SUMMARY:
This position plays a vital role within Puyallup United Methodist Church by recording funds received and up-keeping membership records and the database. The Administrative Assistant works with the treasurer, committee on finance, and the pastoral and office staff in order to support the ministry of the congregation.
ESSENTIAL DUITIES as FINANCIAL SECRETARY:
· Oversee the training and work of the volunteer members to count the offering.
· Assign and distribute offering envelopes to appropriate members and constituents. Reconfigure this system for primarily paperless giving in the near future.
· Post all giver’s weekly offerings to their individual or family accounts.
· Prepare semi-annual giving statements for distribution.
· Provide an estimate of giving to Finance Committee annually.
· Develop method to provide accurate income reports to pastor and Finance Committee.
ESSENTIAL DUTIES as MEMBERSHIP SECRETARY & GENERAL ADMIN:
· Ensure all membership changes are completed and accurately noted in database.
· Update information and track attendance of all members and guests.
· Update and maintain hallway bulletin boards and staff/volunteer mailboxes.
· Compile all information to create weekly bulletin for the Traditional Sunday morning worship service, funeral bulletins and bulletins for other special events as needed.
· Assist with printing of hard copy communications: bulletins, Carry-Out, Circuit Rider, etc.
· Produce and deliver special mailings such as the annual Fundraising Campaign, special giving opportunities and other print mailings as needed.
· Various other duties as assigned by the Pastor and/or Office Manager. These may include, but are not limited to:
o Assisting with scheduling and communication for the Care Team
o Maintaining and printing the monthly birthday list
o Assisting non-techy volunteers and staff as with calendaring, communication, etc.
o Support archival work & special projects like decorating for Christmas, VBS, etc..
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree, administrative training or significant related experience is preferred.
- Possess a personal positive attitude to effectively provide service consistent with the ideals and values of the United Methodist Church. Puyallup UMC is a fully inclusive faith community as described at https://www.puyallupumc.org/.
- Competence with Microsoft Office and database programs. Familiarity with Excel, Publisher and Canva programs helpful. Willingness to learn emerging platforms & tools also helpful.
- Must possess the ability to accurately spell, proofread, use correct grammar and punctuation, and correctly edit documents as necessary. Effective oral communication also needed.
- Maintain confidential information.

· All staff will successfully pass a background check and complete ongoing Safe Sanctuary® training as prescribed by the United Methodist Church
PHYSICAL REQUIREMENTS:
- Ability to lift 10 lbs
- Navigate around office equipment and desks
- Be comfortable picking up and moving chairs and folding tables as necessary
