Office Admin
Purpose/Objective
The Office Admin will provide general office support with a variety of clerical activities and related tasks. This individual will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies and additional clerical duties.
Key/Essential Functions
- Professionally administer all incoming calls
- Ensures phone calls are redirected accordingly
- Greet guests/clients in a professional, friendly, hospitable manner and prepare refreshments
- Open and close visitor area( locking doors, closing blinds, turning off lights)
- Provide callers with information such as company address, directions to the company location, company fax numbers, company websites, and other related information.
- Keeps the receptionist area and conference room neat and orderly
- Type memos, correspondence, reports, and other documents
- Backup for running errands to courthouse, banks, realtor offices etc.
- Will use personal vehicle and will be reimbursed mileage
- Receipt money and create deposits

Minimum Experience Needed
- Be able to use standard office equipment, including a computer, telephone, fax machine
- Stamina to maintain attention to detail during interruptions
- Strength to lift objects weighing up to 20 pounds
- Minimum 1 year experience in an office setting speaking directly to clients. Having a consistent work history in customer service and high traffic environment.
Special/Unique Qualities Needed
- Ability to work overtime and adjust working schedule beyond the normal 8am-5pm
- Ability to remain calm and relate to clients to match their personality

- Preforming office duties following the ETTC process
Most of the Work Day Is Spent on the Following
- Greeting and welcoming clients and guests
- Assist walk in clients
- Order Entry, Deposits, Recording documents
- Processing Out of Office and Title Evidence files
- Answering multi-line telephones and speaking with clients including realtors, lenders, builders, developers, buyers and sellers
- Ensuring all supplies are well stocked
- Ensuring closing rooms are prepared at all times
- Completing local runs
- Provide back up to runners as needed
- Anticipating what is needed by the team members and providing administrative support accordingly

Educational Requirements
- Possession of high school diploma or equivalent (GED)
- 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and customer service experience
