Client Services and Operations Coordinator
Overview:
The Client Services & Operations Coordinator is responsible for providing exceptional client service and coordinating day-to-day operational activities within the organization. This role requires excellent organizational and communication skills, as well as the ability to prioritize tasks and manage multiple projects simultaneously. The coordinator will work closely with clients, internal teams, and external teams to ensure a seamless client experience and operational efficiency.
Responsibilities:
Client Service Support
· Act as the main point of contact for clients, addressing inquiries, resolving issues, and providing timely and accurate information.
· Build and maintain strong client relationships, understanding their needs and proactively identifying opportunities to enhance their experience.
· Collaborate with internal teams to ensure client satisfaction and successful service delivery.
· Arrange client meetings to review performance, address concerns, and identify additional service opportunities.
Client Onboarding
· Assist in the onboarding process for new clients, including gathering required documentation and facilitating account opening procedures.
· Support the maintenance and servicing of client accounts, including processing transactions, updating client information, and addressing account-related inquiries.
· Review insurance applications, conversions, and policy changes for completeness and accuracy.
· Liaison with the WMP team to work on NMIS-related forms and accounts.
Administrative Support
· Provide administrative assistance to the Financial Advisor(s) in managing day-to-day operations, including managing calendars, scheduling and confirming appointments, handling phone calls, coordinating meetings, and organizing travel arrangements.
Documentation and Reporting
· Assist in maintaining accurate and up-to-date client records, financial documents, and other pertinent information. Ensure compliance with regulatory requirements and internal policies.
Operational Coordination
- Coordinate, monitor, and track key operational metrics, identifying areas for improvement and implementing process enhancements.
- Collaborate with cross-functional teams to streamline workflows and resolve operational issues.
- Ensure compliance with company policies and procedures related to operations.
- Monitor operational processes and identify areas for improvement or optimization.
Qualifications:
- Proven experience as an executive assistant or in a similar administrative role, preferably in the financial services industry.
- Bilingual proficiency in English and Spanish is required, as the role may involve interacting with clients who primarily speak Spanish.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills, with a professional and client-focused approach.
- Proficiency in using office software, such as Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Knowledge of financial products, investment concepts, and financial planning principles is a plus.
- Familiarity with financial software and tools, such as CRM systems, portfolio management systems, or financial planning software, is an advantage.
- Ability to maintain confidentiality, exercise discretion, and handle sensitive client information.
- Attention to detail and accuracy in managing documentation and records.
- Strong analytical and research skills to gather and analyze financial data.
- Ability to work independently and as part of a team, collaborating effectively with colleagues and clients.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
