Accounts Receivable Clerk
Job Description
As an Accounts Receivable Clerk, you will play a crucial role in maintaining financial records, ensuring accuracy, and supporting the financial operations of our organization. Your responsibilities will encompass a wide range of tasks related to invoicing, client communication, and financial reconciliation. If you have a keen eye for detail, excellent organizational skills, and a passion for numbers, this role might be a perfect fit for you.

Key Responsibilities:
Please note that this job description lists a LOT of duties. You may not be familiar with how to do many of these things. That's okay. We've just listed everything we could see this person growing into over the next year or two so you know what you're getting into. Don't let the comprehensiveness of the list be overwhelming. We anticipate hiring a person without a tremendous amount of experience and training them to do one task at a time.
Invoice Creation and Management:
- Generate invoices using our ERP system based on contracts, labor charges and items sold.
- Ensure that all relevant details, such as product descriptions, quantities, prices, and terms, are accurately reflected.
- Export invoices to QuickBooks online for seamless financial tracking.
Client Interaction:
- Collaborate with clients to facilitate their access to our online payment portal.
- Assist clients in reviewing invoices, understanding payment terms, and setting up autopay options.
- Address any inquiries or concerns related to billing promptly and professionally.
Credit Card Transactions:
- Record credit card transactions in QuickBooks Online.
- Attach receipts or relevant documentation to each transaction entry.
- Verify the accuracy of transaction details, including amounts, dates, and merchant information.
Reconciliation:
- Regularly reconcile accounts in QuickBooks online to ensure consistency between financial records and bank statements.
- Identify discrepancies, investigate variances, and make necessary adjustments.
- Maintain accurate records of income, expenses, and other financial activities.
Payroll
- Use spreadsheets or other forms to calculate commissions due to sales employees.
- Communicate commissions and other pay deviations to external payroll company
- Enter payroll transactions into QuickBooks Online
- Reconcile Payroll invoices against reported employee hours and deductions
Reporting
- Run certain reports in QuickBooks online each month and update spreadsheets
- Run reports as requested to assist CEO in data analysis
Collections and Past Due Balances:
- Communicate with customers regarding overdue balances.
- Send reminders, follow-up emails, or phone calls to encourage timely payments.
Contract Management:
- Create and manage customer contracts within our ERP system.
- Ensure that contract terms, pricing, and deliverables align with business agreements.
Mail/Checks
- Check mail at postal box several times weekly
- Process any check payments in Quickbooks online
- Deposit checks at bank
- Documentation
- You will have documentation/written instructions available for some of these tasks.
- Some of the tasks you will learn from the CEO and you will be expected to document those processes as you learn them.
Qualifications:
- Experience/Skills:
- No accounting experience required though nice to have
- Quickbooks Online Experience a plus
- Strong attention to detail and accuracy.
- Excellent communication skills for client interactions.
- Ability to work independently and meet deadlines.
