Job Summary:
VisiFI is looking for an experienced HR Coordinator to join our team. The ideal candidate will assist with talent acquisition, manage Statements of Work (SOW), and handle payroll processes using Paychex and Jira for project management. Key Responsibilities:
Talent Acquisition:
- Assist in the development and execution of recruitment strategies.
- Post job openings on various job boards and company career pages.
- Screen resumes and applications to identify qualified candidates.
- Conduct initial phone screens and coordinate interviews with hiring managers.
- Maintain candidate databases and track application statuses.
- Assist with onboarding new hires, including coordinating orientation sessions and preparing necessary documentation.
Statements of Work (SOW):
- Collaborate with various departments to draft and review SOWs for new and existing projects.
- Ensure all SOWs are in compliance with company policies and legal requirements.
- Maintain accurate records of all SOWs and update them as needed.
- Coordinate with vendors and contractors to finalize SOW agreements.
- Utilize Jira to track the progress and status of SOWs and related projects.
Payroll:
- Payroll Processing: Manage and oversee the end-to-end payroll process across multiple states using Paychex Flex.
- Paychex Flex: Utilize Paychex to process payroll, including data entry, verification, and reconciliation.
- Multi-State Payroll: Ensure compliance with payroll regulations in multiple states, including tax withholding and reporting requirements.
- Adjustments and Garnishments: Handle employee payroll adjustments, deductions, and garnishments accurately and in compliance with applicable laws.
- Time and Attendance: Collaborate with the HR Director and managers to verify and process time and attendance data.
- Record Maintenance: Maintain accurate and up-to-date payroll records, including employee information, earnings, and deductions.
- Reporting: Generate payroll reports and provide data analysis as needed for management and regulatory purposes.
- Compliance: Stay up-to-date with federal and state payroll laws and regulations to ensure payroll accuracy and compliance.
- Customer Service: Provide excellent customer service by addressing employee payroll inquiries and resolving issues promptly.
- Process Improvement: Identify opportunities for process improvements and efficiency enhancements within the payroll function.
Project Management:
- Use Jira to create, update, and manage tasks related to HR projects.
- Track the progress of ongoing HR initiatives and ensure timely completion.
- Collaborate with team members to prioritize tasks and allocate resources efficiently.
- Generate reports and analyze project data to support decision-making and process improvement.
Qualifications:
Education and Experience:
- Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred.
- HR Certification (PHR, SPHR, SHRM-CP, SHRM-SCP) is a plus.
- Minimum of 5 years of payroll experience with a strong focus on Paychex Flex.
- Experience in HR coordination, talent acquisition, or payroll processing.
- Familiarity with Jira or other project management tools is preferred.
- International and/or multicultural experience preferred.
- Working knowledge of Spanish and/or Italian languages is a plus.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.

- Proficiency in payroll tax regulations, wage garnishments, and payroll adjustments.
- Effective communication skills and the ability to work collaboratively with cross-functional teams.
- High level of discretion and confidentiality when handling sensitive payroll information.

Physical Demands:
- Work is essentially sedentary with occasional walking, standing, bending, carrying items under 25 pounds such as books, papers, small parts, etc.

- Occasional travel may be required for team meetings or training sessions.
