JOB SUMMARY
The Medical Records Technician reports to the Program Director or his/her designee and is responsible for specialized and technical medical record clerical work including coding, indexing and compiling statistical reports and related work as required.
ESSENTIAL JOB RESPONSIBILITIES
- Use of an electronic health records for management of consumer personal health information (PHI).
- Employees shall follow the reporting requirements for incidents of Child Abuse, Elder Abuse, Adult Abuse, Dependent Adult Abuse, and Tarasoff warnings per California reporting laws.
- Review, obtains, files and retrieves medical records and reports using diagnostic and procedure index and other filing systems.
- Extracts data from patient records for use in compiling a variety of medical reports and statistical summaries.
- Adheres to the agency quality assurance program.
- Ensures that peer review and utilization review sessions are conducted as mandated in conjunction with Medical Records Supervisor.
- Follows procedural systems to accumulate data to maintain quality assurance. This may include monthly review or status reports.
- Prepares summary reports, as needed.
- Tracks documentation due dates and works with clinical staff to ensure timeframes are met.
- Consults with departmental management regarding quality assurance needs, and informs management regarding changes in legislation, as applicable.
- Will interface with county managed care staff and other community partners.
- Prepares reports and correspondence.
- Will drive on Agency business.
- Think and act quickly and efficiently in emergencies.
- Physical presence at the office is required.
ESSENTIAL JOB REQUIREMENTS
- Previous successful secretarial or office work experience.
- High school diploma or equivalent. Two (2) years of junior college with Business Administration/Secretarial major or completion of secretarial course in accredited business school or two (2) years clerical experience in a medical setting preferred.
- Ability to operate within Electronic Medical Records (EMR) system.
- Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
- Ability to pass a criminal background check.
- Ability to pass a pre-employment drug screen and TB test.
ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL
- Communicate effectively in written and spoken Spanish.
- Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
- Assist with phone calls for Spanish clients.
- Required to provide language translations for case managers and Physicians on a periodic basis.
- Other translation tasks as required.

- Bilingual: Class 105 ($16.15 - $21.26/hour)
