The Receptionist answers and accurately directs phone calls professionally, greets clients and visitors positively, maintains the programming and maintenance of the telephone system, and obtains professional assistance as needed. The Receptionist maintains the Visitors Log for announcing all visitors. The Receptionist provides support across the business, such as performing word processing, data entry, and other projects as needed.
PRIMARY RESPONSIBILITIES AND DUTIES:
- Answers incoming calls positively and warmly.
- Accurately directs caller to the appropriate people courteously and professionally.
- Return to calls on hold every 45 seconds, giving the caller the opportunity to continue holding or to leave a message.
- Takes accurate phone messages with call back numbers, area codes and names legibly written or refers call to leave message in voice mail.
- Welcomes visitors; request sign in on Visitor's log; assists and directs them properly.
- Ensures reception desk is manned and has coverage during business hours.
- Performs other duties as assigned.
Must be proficient in Microsoft Office - Work, Excel, Outlook.
