Job Summary: We are seeking a detail-oriented and highly organized Administrative Assistant/Customer Service rep to support our team. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to handle multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our office and supporting our project managers, designers, subcontractors and clients.
Key Responsibilities:
- General Office Management:
- Answer and direct phone calls
- Greet visitors and clients in a professional manner
- Manage office supplies and inventory
- Maintain office cleanliness and organization
- Administrative Support:
- Assist with scheduling appointments and meetings
- Prepare and distribute correspondence, memos, and forms
- Maintain and update company databases and client records
- Handle incoming and outgoing mail and packages
- Project Support:
- Assist project managers with administrative tasks related to remodeling projects
- Coordinate project schedules and timelines
- Help prepare project documentation and reports
- Track project progress and communicate updates to clients
- Financial Administration:
- Assist with invoicing and accounts payable/receivable
- Process expense reports and purchase orders
- Maintain financial records and documentation
- Customer Service:
- Respond to client inquiries and provide information about our services
- Schedule and confirm client appointments and consultations
- Handle client complaints and concerns professionally
Qualifications:
- Proven experience as an administrative assistant or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with office management systems and procedures
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus
Preferred Qualifications:
- Experience in the construction or remodeling industry
- Knowledge of project management software
- Basic understanding of bookkeeping and financial management
