ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.
Student Information System
- Maintain school information system and review system updates
- Provide training to teachers and staff
- District contact for all questions pertaining to the system
- Submit work orders for the district
- Import student and staff photos
- Export and/or import direct certification weekly
- Import assessment scores such as ACT, MAP, MAP-A, EOC, DRA, DIAL 4
- Request student MOSIS state IDs
- Collaborate with all campuses to ensure correct data
- Create and maintain yearly and summer school sites
- Prepare secretarial meeting agendas
- Provide annual attendance and free and reduced counts for auditors
- Enter special additional attendance for itinerant, parochial, and homeschooled students
- Billing and enter Virtual Education enrollment, attendance, and grades.
- Process student Local Tax Effort/domicile billing
- Process Public Placement Fund
- Process social security disability claims
- Receive, proofread, mail, and import 504 plans
- Receive all transfer in and out student data to review for additional services (504, gifted, SPED) and make sure all documents are received or sent out.
- Attend monthly User Group meetings
- Attend annual student information meeting
- Transportation ridership lists - October and February
- Coordinate Career Ed Data with responsible staff for submission to MOSIS
- Review homebound attendance
- Enter gifted attendance
- K-8 Tuition Billing
- Performs other related duties as assigned.
Core Data/MOSIS
- Submit all MOSIS cycles
- Submit assessment pre-code files
- EOC Exception Files
- Stay current on DESE updates
- Coordinates core data information to the Department of Elementary and Secondary Education.
- Maintains all attendance records of the district, including nonresident attendance.
- Submit and maintain the school calendar
- Collaborate with all campuses to clear data errors
- Collaborate with other districts to clear MOSIS state violations

EDUCATION AND/OR EXPERIENCE:
- High School Diploma or equivalent, including courses in bookkeeping
- At least one year of related experience and/or training
COMMUNICATION SKILLS:
- Ability to write reports, business correspondence, etc.
- Ability to effectively present information and respond to questions from administrators, students, staff, and the general public consistent with the duties of this position.
MATHEMATICAL SKILLS:
- Ability to work with mathematical concepts such as probability and statistical inference.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY:
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists consistent with the duties of this position.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form consistent with the duties of this position.
TECHNOLOGY:
- Competent with computer skills, including web browsing, email, word processing, and the Google platform.
- Must have the ability to learn and utilize new software programs as systems are upgraded.
- Utilize smart boards, projectors, copy machines, faxes, and other technology provided by the district.
KNOWLEDGE, SKILLS AND ABILITIES:
- Ability to interface effectively with other departments, school personnel, other maintenance staff, and business contacts from outside the District.
- Knowledge of department organization, methods, standards, and practices. Standard business practices/methods and procedures.
- Ability to work independently with minimum supervision.
- Ability to understand and carry out complex oral and written instruction.
- Ability to communicate effectively, orally and in writing.
