Administrative Assistant
Ames, Oklahoma
Administrative Assistant for the Ames Production Office will be responsible for the office's administrative functions and help manage the work order system, ensuring that work orders are entered and closed with the guidance of the operations manager and maintenance manager. This individual will also coordinate purchasing and delivering office supplies, veterinarian supplies, commodities, equipment, and services used on the farms. General housekeeping, upkeep of the office, and daily delivery of semen or other supplies to the farms as business requires.
Key Tasks (Duties and Responsibilities include, but are not limited to, the following.):
Input all local and closing work orders once completed and approved by the Maintenance manager or Operations manager.
Serve as the administrative assistant for Ames Production Office to include, but not limited to:
-Typing/computer entry
-Answering the telephone
-Filing
-Prepare and process biological samples for shipping under the required guidelines and shipping rules
Assist in purchasing various types of supplies, veterinarian supplies, commodities, equipment, and services.
Maintain all records of purchases such as veterinarian supplies, vaccines, equipment, etc.
Prepare veterinary sampling kits for the farms under the supervision of the responsible veterinarian.
Maintain adequate stock of some supplies and vaccines under the direction of a regional veterinarian.
Organize and schedule supplies, commodities, equipment, and service delivery to the farms.
Receive and check material delivered and unloaded in the storeroom or dispatch it to an appropriate job site
Confer with Farm Managers concerning new supplies, commodities, equipment, services, and conditions affecting material availability and prices, and assist them in preparing requisition orders and specifications.
Help manage and coordinate with the environmental team to ensure that all record keeping is entered in compliance with state requirements or other environmental documentation needs.
Supervise and coordinate activities of the central supply storeroom.
Monitor and control inventory
Perform other duties as assigned.
Ability to operate a company vehicle as needed
Visiting farms, following proper biosecurity protocols, and possible sample collection as directed by the Veterinarian or Operations manager

Qualifications
Computer literate
Clean driving record and able to qualify to operate a company vehicle, including a valid driver's license
Education and/or Experience
High School Diploma
Language skills

Work environment
This position will be in an office environment close to the farms, and the environment can be dusty because of the location. Additionally, this position will be required to deliver supplies to many locations and weather conditions, creating extreme heat, cold, moisture, and dust exposure.
