Summary
Keystone Law Group is seeking a talented Mail & Facilities Clerk to enhance our dynamic and growing team. The ideal candidate will possess a strong foundation in mail handling and suite maintenance and demonstrate key skills such as attention to detail, strong interpersonal communication, and the ability to work both independently and as a member of a team in a fast paced environment. This role is pivotal to the Operations Department where you will collaborate closely with the Receptionist and Legal Assistants and report to the Operations Manager to achieve departmental and firm-wide objectives.

Location
Position is in person, 5 days per week in the office. Schedule to be determined between the hours of 9:00 am to 6:00 pm or 10:00 am to 7:00 pm with 1 hour lunch
Essential Duties and Responsibilities
Handle the firm’s incoming and outgoing mail and packages including registering, sorting, and distributing to the appropriate recipients
Process, sort and digitally store all incoming mail into the firm’s document management system, including scanning documents and correctly filing them in the system
Responsible for all outgoing mail, including copying, printing, processing postage and mailing
Maintain log of all incoming and outgoing mail
Maintain inventory of mailroom supplies and work with Reception to restock
Support the copying and document organization for trial binders and other legal meetings
Regular trips using personal vehicle to the post office to drop off outgoing mail, as well as other work-related trips as required
Create and update physical item records for mail that cannot be digitally stored, including logging new items, tracking their location, and updating their status
Responsible for set up and clean up for team and client meetings
General office maintenance, cleaning and upkeep
Serve as back up to receptionist with duties, including but not limited to:
- Answering, directing and screening incoming calls
- Greeting and directing visitors
- Assist with coordinating meals as needed for meetings and office events
- Validate parking for visitors, as required
- Coordinate conference room scheduling
Other responsibilities, administrative tasks, overflow work and projects, as assigned

Ability to handle physical duties associated with the job, including lifting, carrying and/or moving up to 50lbs, bending, and reaching
Access to personal vehicle for short distance travel related to job duties as required
Familiarity with Windows, Microsoft Office applications (Word and Excel), Adobe Acrobat, document management systems, and task/project management applications, etc.
Education and Experience
High school diploma required, Associate’s degree preferred
Professional law office or receptionist/administrative experience preferred
Salary Range
$18.00 - $28.00 per hour (equivalent to $37,440 - $58,240 annually), depending on experience, plus discretionary bonus
