Snell & Wilmer is seeking a poised and professional Receptionist to join the San Diego office. As the face of the office, you will be the first point of contact for clients, colleagues, and visitors, embodying our commitment to exceptional service and attention to detail. The hours for this position are Monday through Friday 8:30am to 5:00pm in the office. (7.5 hours/day, 1 hour lunch break)
Position responsibilities include, but are not limited to the following:
- Greet visitors and announce their arrival by notifying appropriate personnel
- Escort or direct visitors and clients to conference rooms as appropriate
- Monitor visitors and vendors for security purposes and understand security procedures
- Receive and answer various requests promptly, including requests for services, records, and unknown mail
- Represent the Firm’s professional image by maintaining a neat and organized appearance in the main lobby and surrounding areas
- Represent the Firm’s professional and welcoming image by maintaining neat and hospitable conference rooms
- Manage and initiate all catering orders
- Maintain conference room calendars
- Assist in coordinating office events, meetings, and conferences
- Submitting order requests to the Director of Administration for all kitchen, conference room, and staff needs
- Keeping inventory of kitchen snacks, cutlery, and coffee items
- Keeping inventory of all office supplies
- Answer phone calls promptly and courteously and take accurate and complete messages
Experience and Qualifications:
- At least 2 years of experience in an office professional environment; legal experience preferred, but not required
- Communicate clearly, tactfully, kindly and professionally with all Attorneys, Directors, C-Suite, Staff, and visitors to the office
- High attention to detail with the ability to multitask and prioritize effectively
- Must have an enthusiastic attitude and clear and courteous communication style
- Must be able to solve problems effectively and creatively
- Basic skills using Microsoft programs such as Outlook, Word, and Excel, required
- Maintain confidentiality of clients and demonstrate professional behavior and judgment in dealing with delicate situations
- Excellent time management skills with a proven ability to meet deadlines
- Ability to work under pressure, respond quickly to changing demands and be self-motivated with ability to work independently as well as part of a team
- Position may be physical at times and requires walking with a food cart, bending, lifting, and standing and ability to lift/carry up to 50 pounds
- Ability to put together office equipment is a plus!
The pay range for this position is $23.00 to $25.50 per hour depending on experience.
