Job Overview:
Effectively manage all inventory related reports including depreciation schedules and submission of required inventory reports to DHS. Manage Purchasing staff, including Purchasing Specialists and Administrative Assistants. Contact Department, Regional, and Executive Directors regarding inventory status and requirements.
Responsibilities:
· Maintain monthly reports of all inventory purchases by site/location, at the onset of the contract, and at the beginning of each budget year.
· Collect, maintain, and update inventory status by site/location.
· Coordinate effectively with the purchasing unit to make sure that reports of inventory purchases are consistent with those assigned and distributed to the facilities.
· Ensure that recording of purchases in the books of accounting complies with DHS requirements.
· Maintain separate inventory reports based on the requirements of DHS reporting.
· Submits monthly reports to the Comptroller for review and approval.
· Compare and evaluate inventory reports from facilities against those in the general ledger recorded by Purchasing and AP units.
· Ensure that Standard Operating Procedures (SOP) are strictly followed and maintained by inventory in charge in the facility.
· Assisting with internal and external audits related to inventory by providing documentation, explanations, and reconciliations as needed.
· Help implement and maintain internal control over inventory purchases, distribution, and monitoring.
· Prepare monthly schedule of depreciation for all depreciable assets assigned or distributed to the facilities based on the guidelines provided by DHS.
· Ensure complete documentation of the disposal of goods, theft and destruction based on DHS protocol.
· All other duties as assigned.
Professional and Personal Qualifications:
- Bachelor's degree in accounting or finance is preferred.
- Proven work experience as an Accountant or in a relevant field
· Knowledge in Quick Books and Purchasing module
· Able to operate related equipment, tools, and materials used in the facility

· Proven ability to handle multiple tasks effectively under pressure
· Strong organizational skills, detail-oriented, and efficient
