PS 84 The Lillian Weber School is seeking a dedicated and organized Administrative Assistant to support the efficient operation of our school. This role involves a variety of responsibilities including supervising students during lunch and recess, facilitating communication with parents, assisting teachers with non-classroom tasks, and distributing educational materials. The Administrative Assistant will be essential in ensuring a smooth and effective school environment. Strong organizational, communication, and interpersonal skills are required for this position.
Duties and Responsibilities:
Administrative Support:
- Provide general administrative support to the school principal, assistant principal, and teaching staff.
- Answer phone calls, direct inquiries, and take messages as needed.
- Maintain and organize school records, files, and databases.
- Prepare and distribute school communications, such as newsletters and announcements.
Student Supervision:
- Supervise students during lunch and recess, ensuring a safe and inclusive environment.
- Monitor students' behavior, encouraging positive interactions and addressing any issues promptly.
- Escort students to and from different areas of the school as needed.
Parent and Community Communication:
- Communicate with parents regarding school events, student progress, and other important information.
- Respond to parent inquiries and provide assistance as needed.
- Assist in coordinating parent-teacher meetings and school events.
Teacher Assistance:
- Assist teachers with tasks outside of the classroom, such as preparing materials and organizing supplies.
- Distribute books and educational resources to classrooms.
- Help manage and maintain the school's inventory of supplies and equipment.
Clerical and Organizational Tasks:
- Perform data entry, filing, and other clerical tasks as required.
- Prepare and photocopy documents, worksheets, and other instructional materials.
- Assist in maintaining a tidy and organized office environment.
Event Coordination:
- Assist in the planning and execution of school events, assemblies, and activities.
- Help set up and clean up after events and meetings.
Communication and Collaboration:
- Communicate effectively with students, staff, parents, and community members.
- Collaborate with school staff to support the overall mission and goals of the school.
- Attend and participate in staff meetings and professional development sessions.
Other Duties:
- Perform additional duties as assigned by the school administration.
- Support the overall functioning and operations of the school.
