POSITION: Receptionist
RESPONSIBLE TO: Manager or Team Leader/Supervisor
JOB SUMMARY: With a customer service orientation—register patients, answer the telephone, prepare the office for the day, and schedule patient deliveries.
EDUCATIONAL REQUIREMENTS:
- High school diploma required
QUALIFICATIONS AND EXPERIENCE:
- Up to two years experience in a medical office, telemarketing or other customer service position
- Comfortable using email and interacting with Internet applications
- Knowledge of practice management and word processing software
- Ability to perform multiple and diverse tasks simultaneously
- Proven experience handling irate patients/customers and dealing with conflict
- Familiarity with scheduling and rearranging appointments
- Working knowledge of managed care
- Pleasant speaking voice and demeanor
- Neat, professional appearance
- Strong written and verbal communication skills
Responsibilities include, but are not limited to, the following:
Telephone Answering and Scheduling
- "Opens" the office each day
- Answers the telephone pleasantly, and by the third ring as often as possible; routes call or takes message
- Schedules patient appointments: explains to patient which pieces of information they are to bring, provides a range of potential charges for the visit and the patient’s financial obligation, provides patients several scheduling options, follows physician-approved scheduling guidelines
- As time allows, pre-registers new patients over the telephone before they arrive for their appointment
Daily Preparation
- Runs the daily schedules one day ahead—makes a copy for each physician, the nurse's, audiologist, and the front desk
- Runs all encounter forms one day ahead of time
- Ensures all charts have been created, pulled, and/or located; attached encounter forms to patient charts
Check-In and Registration
- Greets patients as they arrive for scheduled appointments
- Provides new patients appropriate paperwork for required signatures (if they have not been pre-registered)
- Verifies demographic and insurance information for new and established patients, according to protocol; makes a copy of each patient's insurance card, front and back
- Explains financial and collection policies to new patients—provides written guidelines to each patient
- Ensures all patient paperwork is complete before patient is seen—puts the chart up for the clinical staff
- Informs patients in the reception area when the physicians are running behind— offers to reschedule them
- issues Medical supplies and or equipment, from our warehouse on a daily basis.
Other
- Screens visitors and responds to routine requests for information
- Ensures all faxes are cleared off the machine and distributed throughout the day
- Sorts incoming reports and directs to appropriate physician
- Opens, date stamps, and delivers mail daily
- Keeps the patient reception area neat and clean at all times throughout the day
- Facilitates any physician requests throughout the day
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Maintains detailed knowledge of practice management and other computer software as it relates to job functions
- Assists Cashier with patient payment at the time of service, posting of charges and payments, and scheduling follow up appointments, as needed
- Attends all regular staff meetings
- Performs all other tasks and projects assigned by the Manager or Team
Leader/Supervisor
Supervisory Responsibilities
This job has no supervisory responsibilities.
Typical Physical Demands
Work may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies. Employee will occasionally be asked to lift files, medical equipment/supplies or paper weighing up to 35 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. Position also requires viewing computer screens and typing for long periods of time, and working in an environment which can be very stressful.
Typical Working Conditions
Work is performed in a reception area, and involves frequent contact with patients.
Work may be stressful at times. The employee must be comfortable asking patients for money. Interaction with others is constant and interruptive. Contact involves dealing with sick people.
Job Type: Full-time
Pay: $7.25 - $17.33 per hour
