Are you our next Operations Support Assistant?
Your attention to detail makes you perfect for making sure lease paperwork is complete, accurate, and meets eligibility requirements. You have excellent time management skills and follow through on assignments independently to meet deadlines.
What you'll be doing as an Operations Support Assistant:
- Maintain confidentiality of your job and Coast’s practices and clients at all times.
- Maintain accurate distribution lists/records and manage distribution process.
- Operate postage machine ensuring the accurate processing of outgoing mail.
- Maintain proper funding and supplies for postage meter. Update postage software when needed. Train other
- personnel on proper machine operation as needed.
- Track machine issues and schedule service as needed. Maintain logs.
- Scanner/Copiers: ensure copier/scanners are in good working order.
- Processing/Routing Answering service messages promptly
- Reviewing and distributing Coast website email inquiries in a timely
- Managed supply inventory and maintained the budget established by the operations director.
- Iron Mountain – Assist with record retention/archive process - coordinate storage pick-up and delivery and
- maintain supplies.
- Recommend & implement enhancements to existing processes to improve efficiencies & reduce costs.
- Assist in the coordination of all office functions and company events.
- Run office-related errands as required.
- Additional duties as assigned by the manager
Are you qualified? (We hope so!)
● High School education or equivalent
● Experience with HUD, Bond, and Tax Credit (with ongoing educational and training in required fields)
● Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
● Able to speak to residents and maintain good working relations with other team members and any contract laborers working on the property
● Previous clerical/administrative experience and experience with office computers and software
● Must have a valid driver’s license and reliable transportation

Pay: $22.00 to $23.00
