Office Assistant
Reports to Owner
Primary purpose of job Assist with the daily operations of the office
Job Duties:
In this position, you will be responsible for the administration, support, and daily aspects of a wide variety of business functions. Your day-to-day activities will include direct contact with employees and customers. You will be the first point of contact for telephone and business communications regarding awnings, holiday décor and pool services.
Office Duties
· Handle, screen, and direct customer inquiries and complaints with a high level of customer service while maintaining adequate documentation of contact in the event follow up is required. Manage and direct incoming voicemails, text and online requests.
- Support of sales team through management of CRM system
- Scheduling awning and holiday décor appointments
- Marketing/Social Media/Ads and managing co-op credits
- Ordering retractable and stationary awnings
- Review awning/holiday décor completed jobs
- Ordering parts and supplies and keeping track of all inventory.
- Monitoring and ordering all promotional literature
- Data entry of orders into POS system ensuring accuracy of input
- Maintenance of customer lists
- Maintain open and professional communication with all office staff
- Take initiative to ensure outstanding customer service and customer experience is provided at all times.
- Apply check payments to customer accounts.
- Support retail store as needed
- Additional job-related duties otherwise specified based on the need of the company
Education and Experience:
§ Associate’s Degree or equivalent number of years administrative experience
§ Knowledge of business and management principles
§ Computer skills and knowledge of office software packages
§ Outstanding organization and follow up skills
§ Ability to provide a positive and professional customer experience at all time
§ Effective and professional communication with co-workers
Job Requirements:
- 2 years or more experience in office environment
- Experience in the pool/spa industry desired but not required
- Knowledge of office procedures, best practice customer service and business culture
Other requirements:
- Candidate is required to have solid computer skills in a Windows environment including proficiency with Word, Excel and Outlook.
- High attention to detail and accuracy

Physical requirements of the position:
- Lift 50lb.
- Standing for extended periods.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
