Position Summary:
The Accounting Manager is responsible for the agency’s financial operations including help with budget planning, financial management, compliance, payroll, accounting, reporting, and external audits. The Accounting Manager reports to the Sr. Dir. Of Operations & CCO and supports the Grassroots Business Operations Committee (BOC).
Schedule is Monday – Friday; 9am – 5pm with additional hours as needed.
Primary Responsibilities
- Oversees daily operations of the accounting department.
- Oversees and completes monthly, bi-monthly, and quarterly financial invoices to submit to Grassroots funders.
- Oversees the financial functions including accounting, help in preparing the budget and external audits.
- Ensure compliance with internal controls, policies and procedures researching and recommend revisions or new policies as needed.
- Responsible for successful audits. Coordinate all audit-related activities. Review draft audited financial statements prior to Executive Director’s signature. Work closely with external auditors on the preparation and submission of the 990 and other related tax documents as, Form 5500, and Personal Property taxes.
- Help with the preparation, implementation and monitoring of the annual budget with the Executive Director and Operations Manager. Develop the operating budget and assist senior staff with the program budgets.
- Prepares, completes, and present balance sheet, budget and justification and monthly expense, account receivables, account payables report to Business Operations Committee.
- Write minutes for meetings of the Business Operations Committee.
- Prepare quarterly and annual expense reports, forecast expenses and justify budget variances.
- Assess and implement technology solutions to streamline financial operations and reporting.
- Supervise Staff Accountants to ensure that all accounting transactions including accounts payable, accounts receivable, payroll and investment activity are properly recorded.
- Manage all financial investments and oversees monthly and quarterly statements.
- Manage all bank accounts and ensure that monthly reconciliations are completed and reviewed.
- Prepare meeting minutes and agenda for the Business Operations Committee monthly meetings.
- Prepare month-end and year-end close.
- Review and reconcile the employee W2s, and prepare the Form 1099s.
- Manage performance improvement processes for programs/operations that are directly supervised including preparation of annual Performance Improvement Plans and Performance Analyses.
Secondary Responsibilities:
- Participates in board activities as requested such as strategic planning and annual meetings.
- Collaborates with the Executive Director, Sr. Director of Operations, other Program Directors and
- Program Managers on planning and implementation of agency-wide training.
- Ability to maintain confidentiality.
- Participates fully management meetings.
- Other duties as assigned.
Agency-wide Responsibilities:

- Complete all administrative duties including time sheets, leave requests, etc.

Qualifications
- Bachelor’s degree in accounting, or Business Management required.
- Master's degree in accounting, Business Management or equivalent experience in related field is preferred.
- Minimum of 5+ years’ experience in public or not for profit Accounting.
- Understanding of non-profit management, fiscal management,
- Microsoft Office Software to include intermediate to advanced Excel.
- QuickBooks Accounting System experience is required.
- Certified Public Accountant (CPA) is preferred.
- Experience with Grants is preferred.
- Trained in and demonstrated experience across multiple disciplines preferably in the nonprofit sector.
