Medical Receptionist/MA Float Role
Job Summary: Working alongside the MA, BHT and with a team of doctors, nurses and therapists at AZITTS to assist with the treatment of patients who have various behavioral problems, such as substance abuse, post-traumatic stress disorder, mental instability and physical and emotional abuse. Performs a number of duties, including greeting and scheduling patients and visitors, verifying the accuracy of existing data, updating demographics and other information as necessary, obtaining the patients/clients signature as authorization for consent to treat and is responsible for distributing medical history forms, bookkeeping, calling patients to remind them of appointments, handling billing information, answering and routing calls, making transactions, and keeping paperwork organized. As well as MA duties as needed such as assisting in filling out forms, routine activities such as vital signs monitoring, venipuncture for diagnostic purposes, and collection of body fluid samples from patients. Non face to face clerical activities include updating of patient demographic and outside treatment information, scheduling of diagnostic tests and telephonic appointment reminder calls to patients. Assists or as directed, schedules and coordinates hospital, surgery, complicated case referrals, and procedure activities. May assist in the collection of treatment related and treatment relevant information such as CSPMP and pharmacy refill requests information. courtesy and professionalism are a must in this position as this position often may be the patient’s first contact.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Demonstrates current clerical competence and excellence in clerical practice.
- Greets patients as they enter the facility and directs them to specific areas as necessary
- Checks in scheduled, crisis and walk-in patients.
- Verifies accuracy of patient demographic and insurance information; obtains necessary signatures for treatment and/or billing; maintains and updates patient information in the computer system.
- Verifies insurance eligibility and coverage and initiates necessary paperwork to ensure that approvals and authorizations are obtained.
- Responsible for changing visits from scheduled to crisis to walk-in to therapy to psychological testing etc. per office protocols and under supervision.
- Handles telephone calls in a timely, professional, courteous, and helpful manner. Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself
- Able to receive cash, check and credit card payments from patients, making out appropriate documentation.
- Collects co-payments on date of service as well as self-pay services.
- Accurately maintains petty cash balance, cashing out daily.
- Notify Immediate supervisor or designee of appointments for no-shows and cancellations. Schedules appointments following ups
- Fulfill medical record duties i.e. scanning documents into EHR system, pulling and organizing charts, registers same day add-on patients and performs other tasks as assigned by immediate supervisor or designee
- Ability to assist MA's to triage and ensure patient flow or perform these duties
- Provide patients with support and guidance as needed
- Use acceptable recovery-focused language at all times.
- Take appropriate vital signs (Height, Weight, Blood Pressure, Pulse Rate, and Temperature) and document this information timely and appropriately. Relay to the supervising BHMP or RN any findings of abnormal values.
- Perform venipuncture to obtain blood samples and collect urine for testing.
- Send out any blood samples drawn or tissue samples taken to the appropriate referral laboratory.
- Assists in calling in prescriptions (new and/ or refill) for patients per appropriate provider approval.
- Assists as instructed in notifying patients of any outside diagnostic test results and sets up follow-up appointments as directed.
- Assist in the handling of requests for Prior Authorizations from prescription coverage plans.
- Assist in the filing of documents as directed by the BHMP or RN.
- Maintain the cleanliness of laboratory working areas within acceptable standards.
- Practice Universal Precaution in handling bodily fluids and HIPAA regulations in handling Personal Health Information (PHI) at all times.
- Assist the BHMP in the completion of documentations of encounters as directed by the BHMP.
- Perform tasks delegated within the BHMA’s scope of duties.
- Support AZITTS in the goal of advancing recovery of participants through the provision of high quality health care services.
- Assist in making the participant feel comfortable and welcomed.
- Document services using approved forms following the accepted standards and policies set forth by the organization
- Flexibility with the clinic’s needs on a day to day basis
Qualifications:
Minimum Requirements
- High school diploma/GED with two years of direct clinical face-to-face work experience and one year of behavioral health work experience preferred.
- Medical Assistant Certification or have completed an approved MA training program accredited by the Commission on Accreditation of Allied Health Education Programs (CAAHEP), the Accrediting Bureau of Health Education Schools (ABHES),or a medical assisting program accredited by any accrediting agency recognized by the United States Department of Education.
License, Certifications, etc.: Valid AZ State driver’s license, vehicle with State minimum car insurance and ability to meet AZITTS driving guidelines. CPR certification.
Knowledge, Skills, and Abilities:
- Must have working knowledge of medical terminologies, medical supplies, and ordering/inventory procedures.
- Ability to work on a computer performing data entry and input into an EMR environment utilizing all applicable HIPAA and healthcare laws and procedures.
- Ability to work with other members of the staff in a collegial and supportive atmosphere. Requires excellent communication skills to relate to physicians, patients, outside organizations/people, and other office staff.
