POSITION TITLE: Operations Manager
REPORTS TO: Jose Molina – Lining Division Project Manager
Key Responsibilities:
1. Focus on managing operations activities, while keeping the standards set forth. This will include the Central Florida area, along with other areas as needed.
2. Receive and acknowledge proposal requests and RFI’s. This shall include requesting all pertinent information from the customer including, but not limited to manhole/structure identifiers, location, diameter, current condition, CCTV video, etc.
3. Share and review all project information/proposal requests with Project Manager. Communicate with Project Manager to ensure all needs are accounted for in proposal development.
4. Oversee lining superintendents and crews to mentor and develop a strong and efficient team. Would be expected to provide all field related decisions pertaining to CIPP installations on a day-to-day and case by case basis.
5. Assist Project Manager with bid evaluation and project review for bidding and project planning development.
6. Communicate and review project/customer specifications and expectations, with Superintendents.
7. Assist project manager with material requests as needed to ensure daily operations sustainability.
8. Assist Project Manager with generating the daily schedule with at least two weeks of advanced planning. Discuss any all schedules, changes and potential disruptions with the Project Manager. Ensure all necessary information is provided on the schedule and to the crews.
9. Communicate with the Project Manager, , on any changes needed for the schedule, material pickups or project issues.
10. Communicate and share all project information and documents with the QC/administrative coordinator to ensure its being saved to the proper project folder in the portal.
11. Review all project quantities and review invoicing progress with the Project Manager at least seven(7) days prior to month end. Discuss any proposal-invoicing discrepancies with the Project Manager. Goal is to invoice for work completed within three(3) business days.
12. Communicate project plans and schedules with customers as needed, with specific attention to projects involving bypassing and larger MOT setups. This is even more important when using outside vendors/sub-contractors on the project.
13. Assist with tool, supplies and other perishable inventory and ordering.
14. Work with lining management team for annual goals and budget as it relates to lining division.
15. Work with the Project Manager and accounts payable to procure water meters as needed.
16. Review customer deliverable (video packages) status with the Project Coordinator. Communicate any missing items with the Superintendents on a regular basis, but no less than twice per week. It’s imperative that videos are provided to the customer in a timely fashion.
17. Ensure the completion report/tracker includes all project information, including notes for punch list items. Follow up with crews to address punch list items in a timely manner. Coordinate with crews and internal/external resources to address punch list items.
18. Assist Division Manager with customer retention and development. Assist with establishing a customer base through old and new contacts within the targeted area and beyond.
19. Continue to grow and expand the APS team while keeping the standards set forth.
20. Assist the Division Manager with identifying and hiring all personnel needs as required.
Company Wide Standards:
1. Evaluate, recommend, develop, and implement improved administrative processes, methods, and procedures.
2. Evaluate the performance and results of yourself and the field staff.
3. Train, lead, and coach as needed to improve productivity and skills of the Superintendents.
4. Provide input and assistance to the Division Manager so the company can effectively make any needed changes.
5. Continually improve personal, technical, supervisory, personnel, and customer relations skills.
6. All interactions with customers, owners, engineers, etc., whether it is in person or a telephone call, will be conducted with respect and in a professional manner.
7. The Project Manager and Division Manager will be notified of any issues that cannot be resolved, or deadlines that cannot be met within a reasonable time frame, and before the deadline has arrived.
8. All proprietary company information will be held as strictly confidential outside the company.
9. Perform all administrative requirements per process.
10. General maintenance of company owned vehicle. Comply with all processes and procedures outlined in the company Handbook and/or Safety Manual.
Compensation Outline:
· Annual salary TBD.
· Incentive bonus program
· Company vehicle to be provided within 6 months of hire.
· Fuel card and Epass provided.
· $50 per month phone allowance.
· Laptop provided.
