Job Title: Client Relations Manager
Reporting to: Director of Operations
Hours: Fulltime Contractor – 30 hours per week (Monday-Friday 8-2)
Start Date: July 1, 2024
Salary: $35,000 - $40,000 depending on experience

One Tribe is a pre- and post-natal wellness and educational center & digital platform offering live and virtual classes and services. We offer everything mothers need in one single trusted space related to: movement, wellness, education, and community. We believe that care for The Mother is of the upmost importance. It is our mission to champion women by helping them to feel confident and empowered on their journey to motherhood and beyond.
Our first physical location is at 2200 Biscayne Blvd- 2 floor - Edgewater, Miami, Florida with the goal of expansion. We offer parents-to-be educational classes, an array of movement classes and wellness appointments such as acupuncture, psychotherapy, lactation, pelvic floor, physical therapy, and nutrition.

Job Summary
The One Tribe Client Relations Manager is a self-starter who will be responsible for directing front office functions daily such as answering/returning calls, checking clients in and out of classes/appointments, opening the center each morning, managing client questions, and handling retail sales. Additionally, the Client Relations Manager will be responsible for monthly inventory management & tracking, and may assist with collateral/marketing material creation. This position works directly with clients, employees, and Administration to carry out procedures ensuring an efficient check-in and check-out process, while ensuring guest satisfaction. Additionally, client experience and relationship building are important aspects of this role.
Job duties include but are not limited to:
- Maintaining client services and front office goals
- Managing day-to-day front office operations (Opening the space, ensuring classrooms are ready to receive clients)
- Ensuring the quality, standards, and meeting expectations of the customers daily
- Answering/returning phone calls and replying to client/customer email inquiries
- Evaluating complaints, and potentially redirecting them to the Operations Director to resolve disputes and conflicts
- Scheduling appointments, checking clients in and out of their services
- Selling Retail
- Managing retail inventory
- Point of contact with Retail Vendors
- Upselling services
- Responsible for patient intake on phone or in person to help introduce One Tribe, best services and classes for the client including One Tribe packages
- Supervises daily front desk shift operations and ensures compliance with all policies, standards, and procedures.
- Manage administrative projects as directed by the Management Team (monthly Education and Movement Schedules, Pricing sheet)
- Supports Management Team by utilizing interpersonal and communication skills to lead, influence and encourage others; advocates sound business decision making; demonstrates honesty/integrity; leads by example
- Supervises all areas of the Front Office in the absence of the Operations Director
- Improves service by communicating and assisting individuals to understand client needs, providing guidance and feedback.
- Interacts with clients to obtain feedback on product quality and service levels.
- Supports the BOH team - Maintains a clean and organized reception area
- Supports the BOH team – Laundry
Requirements & Qualifications
- HS diploma or GED
- Experience in wellness industry preferred
- Minimum 2 years management experience in Guest Services and/or Front Office
- Experience with scheduling software (Mindbody a plus)
- Experience with Canva a plus
- Passion for wellness industry and women’s health
- Promoting process improvement and inventory control
- Both English and Spanish speaking preferred
- Self-starter, collaborative, works well independently
- Excellent communication skills, punctuality, client-service oriented and experience preferred
Physical Requirements
- Must be able to seize, grasp, turn and hold objects with hands
- Must be able to move, pull, carry, or lift at least 30 pounds.
- Occasionally kneel, bend, crouch and climb as required.
Job Type: Part-time
Pay: $35,000.00 - $40,000.00 per year
