Our specialty orthodontic office is seeking a Reception and Scheduling Coordinator to be a part of our amazing patient care team. This position is integral in making our patients feel welcomed and at home in our practice, assisting with all scheduling and treatment questions. Primary phone answerer and problem solver, a liaison between the clinical team and the patients.
Primary Duties:
- Be the ‘face of’ the practice - - the welcome smile and “hello” to all who enter and call the practice
- Be the familiar, welcome voice and capable service representative over the phone
- Work with existing patients in person, over the phone, via text, and via email to schedule needed treatment appointments and re-schedules, etc.
- Interface with patients who have questions via Phone, Text, and social media
- Become an expert at the schedule and a manager of the flow and efficiency of the day
- Work hand-in-hand with the clinical team to ensure that the patient treatment process is a convenient and relatively hassle-free process and experience
- Manage our Phone system/App
- Confirmation of appointment/Patient communication via 2-way text feature
Additional duties include:
- Valuable member of New Patient Team - completing the tasks of verifying insurance, obtaining previously taken x-rays, and obtaining necessary referrals from the patient's general dental provider
- Process payments in person and over the phone
- Help manage New Patient email in-box to answer questions, inquires, etc.
- Work with patients who desire to start treatment with their contract and e-docs.
- Run needed reports from practice management software and act on them
- Assist with marketing idea creation to generate buzz on social media channels and at sponsorship community events
Special skills needed:
- Outward-focused joy, humility, and positivity about the journey that patients are making to improve their, or their child’s health and smile, and an appreciation and respect for the lengths they go to make this happen financially and logistically (i.e. to make repeated appointments over the course of 18 months)
- Willing and able to operate with a 'crawl through broken glass' customer service mentality
- Listening and understanding the needs of the patient. Working diligently with them to help with questions and needs by: 1) solving the problem independently or, 2) getting the correct answer from teammates and relaying this info directly to the patients.
- Extra-ordinary organization and memory
- Ability to understand multi-faceted communication structure, orthodontic doctor-time scheduling philosophy, and orthodontic treatment progress
- Ability to evaluate existing processes and make suggestions for improvement
The Most Qualified Candidates will have:
- Previous Orthodontic experience working in the front office or as an Ortho Chairside Assistant
- Dolphin Management software experience
- Knowledge about Orthodontic/Dental Insurance plans
- Some College or a College Degree
Job Type: Full-time, "Sliding schedule", Monday-Thursday/Tuesday-Friday (33-35 hours), occasional additional work days 1-2 /month, typically in summer
