Overview: This role supports all B2B customer orders across domestic, international, and e-commerce channels. Responsibilities include order receipt, processing, shipping, invoicing, and new customer onboarding, including EDI setup, customer pricing, profile setup, and regulatory documentation.
Key Responsibilities:
- Maintain customer NIFs, cloud-based setup forms, and ensure accurate brand information, including product descriptions, pricing, and F&Bs.
- Manage pricing consistently across all domestic and international customers, including communication of price changes, increases, and account-specific changes.
- Enter customer purchase orders accurately and promptly (within 24-48 hours), including acknowledgment for cloud-based or digital fulfillment orders.
- Coordinate with the warehouse to meet customer shipping demands.
- Communicate order shipping timelines, back-orders, and out-of-stock updates to customers. Request fresh POs for out-of-stock items.
- Lead the weekly stock status meeting and keep the EOH report updated by aligning with operations on stock availability and back-order fulfillment dates.
- Provide necessary sales analytics, including a daily and weekly sales report on orders received, invoiced, and open.
- Update and manage customer order forms as needed with price and product changes.
- Prepare weekly and monthly order reports.
- Liaise with customers to identify and meet product registration requirements.
- Collaborate with operations and manufacturing partners to gather data for registration documentation and file necessary documents.
- Maintain accounts receivable to 60 days or less and ensure adherence to terms during order processing.
- Follow up on past-due invoices.
- Assist in planning and managing international events such as Cosmoprof Las Vegas, Bologna, and Hong Kong, as needed.
Experience Needed: 5+ years in customer-facing roles, preferably in the personal care/haircare industry (but not required).
Education Requirements: BS or associate degree.
Skills:
- Proven experience with EDI management systems and other relevant software applications such as SPS Commerce & Open Text.
- Familiarity with shipping & warehouse management
- Strong knowledge of production planning, budgeting, and supply chain principles
- Proficiency in implementing continuous improvement practices to enhance operational efficiency
- Excellent communication skills to collaborate with internal teams and external partners
- Ability to analyze data and metrics to drive informed decision-making. Proficiency in MS Excel and Word, are essential.
- Proficiency in QuickBooks is required; knowledge of Dynamics is a plus.

Pay: $65,000.00 - $80,000.00 per year
