Job Description:
Duties/Responsibilities
-
Direct the administrative services: ensuring special project deadlines are met; preparing correspondence and reports requiring some understanding of technical matters; and responding to routine and non-routine inquiries using standardized policies and procedures.

Submit purchase requisitions for all supplies, equipment, and maintenance. Work with Materials Management Department to ensure supplies are ordered and maintained by the materials order system in a timely and financially appropriate manner.

Provide project/staff support focused on the implementation of departmental initiatives; track and compile performance improvement data from various sources to create metrics.

Coordinate compliance/review of departmental policies and procedures, as well as Joint Commission standards/CMS and State guidelines for Surgery Centers and other regulatory/governing bodies.

Research and obtain quotes for capital equipment and operating supplies and assist in the preparation of departmental budgets.

Direct the registration services: ensure proper registration and admission policies are followed prior to and on the day of surgery and any legal issues regarding guardianship are resolved.

Direct the scheduling services: ensure all surgeries are properly scheduled to include instrumentation and special supplies/tissue requested are obtained; ensure block utilization is maximized. Oversight for schedulers and registration.

Research and complete surgery charge verification and reconciliation to post for revenue management billing.

Timekeeping recording staff time off, meeting attendance, sick leave, etc., following hospital and labor law policies; perform time card edits and adjust as needed.

Assist in maintaining current certification / licensure / employee health checks.

Assists with inventory management, vendor contract submission, and other data related activities to help ensure efficient, timely and accurate availability of information.

Assists with inventory cycle counts for both owned and consigned inventory

Investigates and recommends changes to ensure inventory accuracy

Collects and complies documents for contract submission forms

Validates accuracy of invoices and owned inventory issuance

Enters requisition data for vendor payment
Required Skills/Abilities
-
Bachelor’s Degree Required, Master’s Degree Preferred

3-5 years’ hospital/ambulatory surgery management desired
-
Advanced knowledge of Microsoft Excel required

Superior presentation skills (both formally via PowerPoint, and informally in meetings)

Superior project management skills
