Responsibilities:
As an Office Assistant, you will play a pivotal role in supporting the smooth operation of our construction projects. You will be responsible for providing administrative assistance to the construction management team and ensuring efficient communication between various parties involved in the projects. Your primary duties will include:
- Administrative Support: Provide administrative support to office manager, project manager, general contractor, and other construction management personnel.
- Document Management: Organize and maintain construction documents, including contracts, permits, drawings, and reports. Ensure all documentation is accurately filed and easily accessible by utilizing construction management software.
- Correspondence: Draft and proofread correspondence, owner updates, meeting minutes and other project-related documents as needed. Handle incoming and outgoing mail and packages. Act as a point of contact for vendors, subcontractors, and various construction service teams.
- Resource Management: Assist in ordering and tracking job supplies, materials, and equipment. Coordinate deliveries and maintain inventory records.
- Subcontractor Compliance Management: Request and track subcontractor COIs and related supporting documents. Prepare and manage subcontractor agreements and lien release waivers.
Requirements:
- Previous experience in a construction-related role and/or administrative assistant is preferred
- Strong organizational skills and attention to detail
- Ability to work effectively in a fast-paced environment
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office suite or BuilderTrend is preferred
Job Type: Part-time
Pay: $18.00 - $25.00 per hour
Expected hours: 20 – 32 per week
