The Executive Assistant provides high-level administrative support to the Chief Executive Officer (CEO)
and other executive level positions. This a full-time role that includes managing the CEO's calendar,
scheduling meetings, coordinating travel, organizing events, special projects, and handling a wide
range of confidential information. The ideal individual will have the ability to exercise good judgment
in a diversity of situations, with strong written and verbal communication, administrative, and
organizational skills, and the ability to maintain a realistic balance among multiple priorities.
PRINCIPAL DUTIES & RESPONSIBILITIES
- Provides executive level support to the CEO and other executives.
- Manages maintenance of CEO and executives' calendars and appointments.
- Drafts, reviews, and sends communications on behalf of company executive(s).
- Organizes and prepares for meetings, including gathering documents and executing on logistics.
- Answers phone calls and resolves routine matters; escalates high profile highly sensitive
issues/concerns/information to the executives.
- Prioritizes emails and responds when necessary.
- Coordinates and plans travel arrangements.
- Maintains various records and documents for company executive(s).
SUPERVISORY RESPONSIBILITY:
This role has no direct reports.
QUALIFICATIONS & REQUIREMENTS
- 5+ years of professional executive administrative experience.
- Excellent written and verbal communication skills.
- Ability to handle confidential matters with integrity.
- Ability to establish relationships and build trust throughout the organization.
- Strong problem-solving skills and ability to work independently.
- Ability to make sound decisions and anticipate situational needs.
- Strong attention to detail and accuracy, with a high level of discipline and timely follow through.
- Well-developed organizational, prioritization, multitasking and time management skills.
- Advanced understanding of frequently used computer software and programs, such as MS Office.
- Ability to travel occasionally to provide on-site support at internal or customer events.
EDUCATION:
Bachelor's degree or commensurate experience preferred.
