Job Title: Patient Care Coordinator (Mental Health)

GENERAL SUMMARY OF DUTIES: Responsible for answering inbound phone calls, recording messages, scheduling appointments, checks patients in and out, collect and apply payments(charge entry), heavy data entry, research systems, assist with program coordination.

SUPERVISION RECEIVED: Reports to NY Office Manager.
SUPERVISION EXERCISED: None.
FLSA STATUS: Non-exempt.
ESSENTIAL FUNCTIONS:
1. Answers telephones promptly and in a polite and professional manner.
2. Provides friendly, and quality patient care.
3. Oversees patient flow and ensures patients are seen in a timely manner.
4. Complies with HIPAA and OSHA rules and regulations.
5. Documents concise, thorough, and accurate information.
6. Registers new patients into OnPatient Portal and DrChrono EHR system.
7. Schedules appointments for existing and new patients via Zoom.
8. Assists patients in completing all necessary forms.
9. Updates patient information (i.e., demographics) in DrChrono.
10. Understands when to escalate calls to clinicians/Office Manager/Director.
11. Collects patient fees, process credit card transactions, and collect balances due from patients.
12. Supports organizational changes.
13. Demonstrates flexibility in providing coverage and/or availability via scheduling adjustments.
14. Makes reminder calls as requested.
15. Back office support (manage accounts receivable, run reports)
16. Aids with mailings and other projects (i.e., marketing projects).
17. Provides programs support for a variety of The Ross Center Programs (i.e., Professional Development, Groups, Forensics Program and Intensive).
18. Maintains strictest confidentiality.
19. Tidy waiting area, kitchen, and assists with supply inventory and stocking.
20. Other duties as assigned by the Office Manager or Office Directors.
The job holder must demonstrate current competencies applicable to the job position.
EDUCATION:
Bachelor's degree preferred.
EXPERIENCE: Minimum of two years’ experience in clinical, hospitality or customer service environment.

KNOWLEDGE:
Knowledge of grammar, spelling, and punctuation to type correspondence.
1. Knowledge of billing practices and clinic policies and procedures.
2. Knowledge of medical terminology is helpful.

ENVIRONMENTAL / WORKING CONDITIONS: Work is performed in an open office environment. Involves frequent contact with staff, patients, and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.
PHYSICAL/MENTAL DEMANDS: Work may require hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time.
