SUMMARY
Partner Engineering and Science, Inc. is looking to hire a full-time Administrative Assistant for our Torrance office. This will be a full time in office position. The ideal candidate will have a minimum of 3 years of administrative/reception duties. A candidate who has experience working for engineering companies are a BIG PLUS!
ESSENTIAL DUTIES & TASKS:
- Perform data entry following prescribed or established formats.
- Assist in the development of documents for proposals and reports.
- Aid reception team with incoming telephone calls and provide proper transfers to internal sources.
- Compose and/or draft correspondences and reports.
- Greet and direct incoming visitors to the office.
- Assist with internal event planning and office culture.
- Responsible for outgoing and incoming mail and faxes.
- Provide support to HR and Recruiting utilizing the Applicant Tracking System (ATS) and other HR related programs
- Handle confidential information in a professional manner.
- Work on projects of various complexities from start to finish.
- Approve and compile expense reports.
- Self-manage and prioritize deadline driven tasks.
- Create shipping labels for outgoing packages. Arrange messenger/shipping services.
- Responsible for maintaining and ordering all office supplies including remote locations.
- Assist in the daily stocking and prepping of communal areas- conference rooms, kitchens etc.
- Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Proficiency in Microsoft Office Suite including Outlook, Work, Excel and PowerPoint and Adobe Acrobat & Reader.
- Excellent verbal and written communication skills with strong analytical skills.
- Self-directed, organized, and able to work with minimum supervision.
- Ability to work within a team environment.
- Ability to adjust work schedule to meet deadlines.
- Be a versatile team player with the ability to flex between projects and work with urgency.
- Project a professional image both in-person and on the phone.
QUALIFICATIONS
- High School Diploma or equivalent required and 3-5 years of relevant office experience
- Bachelor’s degree with 1+ years
PHYSICAL REQUIREMENTS
- Must be able to read, write, speak & comprehend English.
- Must be able to communicate clearly in person and over the telephone.
- Visual acuity adequate to perform job duties, including reading information from printed sources and computer screen.
- Requires frequent bending, reaching, standing, walking, sitting, pushing, and pulling exerted regularly throughout the work shift.
COMPENSATION:
Salary range: $21/hr to $24/hr. This is what we reasonably expect to pay for the role
The pay scale for this role considers a wide range of factors when making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, and other business and organizational needs. Please note, the disclosed pay scale estimate has not been adjusted for the applicable geographic location where the position may be filled.
You may also be eligible to participate in a discretionary incentive bonus program which is dependent on various factors, including, but not limited to individual and organizational performance.
