Position Overview: The Executive Assistant will provide high-level administrative support to the SVP of Sales and Business Development. This role requires exceptional organizational skills, the ability to manage multiple priorities, and the capacity to handle confidential information with discretion. The ideal candidate will be proactive, resourceful, and possess strong communication skills.
Key Responsibilities:
Administrative Support:
- Manage and maintain executive calendars, including scheduling appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research and gather information to support the executive’s decision-making process.
Meeting Coordination:
- Coordinate and prepare agendas for meetings, take minutes, and follow up on action items.
- Ensure meetings are well-organized and all necessary materials are provided in advance.
Communication Management:
- Screen and direct incoming calls and emails, responding on behalf of the executive when appropriate.
- Serve as a liaison between the executive and internal/external stakeholders, ensuring clear and timely communication.
Project Management:
- Assist with special projects, including planning, execution, and tracking of deliverables.
- Coordinate cross-functional teams to ensure project milestones are met.
Travel and Event Planning:
- Arrange detailed travel itineraries, including flights, accommodations, and transportation.
- Plan and coordinate events, conferences, and off-site meetings.
Office Management:
- Maintain an organized filing system, both electronic and physical.
- Manage office supplies and equipment, ensuring the office environment is efficient and well-maintained.
Qualifications:
Education and Experience:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 3–5 years of experience as an executive assistant or in a similar administrative role.
Skills and Competencies:
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle confidential information with discretion.
- Strong problem-solving abilities and attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.

Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
