Front Desk Receptionist
Monday- Friday
8:00 a.m. - 5:00 p.m.
Overview:
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our office, providing excellent customer service and administrative support. Advancement opportunities exist for highly motivated performers.
Job Purpose
Responsible for managing flow of traffic, answering, and routing phone calls, and providing other administrative support to the accounting department and across the organization.
Supervision/Direction
The supervisor makes assignments by defining objectives, priorities, and deadlines; and assist employee with unusual situations which do not have clear precedents. The employee plans and carries out the successive steps and handles problems and deviations in the work assignment in accordance with instructions, policies, previous training, or accepted practices in the occupation.
Essential Functions
Essential Functions include the following. Other duties may be assigned.
1. Greet and welcome guests as they arrive at the office.
2. Direct visitors to appropriate location or personnel within the company.
3. Receive, sort, and distribute daily mail and deliveries.
4. Order and distribute office supplies.
5. Complete daily office filing.
6. Answer incoming calls and route to appropriate personnel.
7. Control facility gate entry.
8. Comply with site security policy.
9. Ensure the kitchen and front reception area are tidy and presentable and have available materials including coffee or other refreshments.
10. Enter daily cash receipts.
11. Complete daily ethanol inventory
12. Assemble quarterly investor newsletter.
13. Manage office document shredding.
14. Execute daily invoices for corn oil customers.
15. Prepare for and clean up after plant tours.
16. Provide Grain Scale Operator coverage as needed.
17. Other duties as assigned by any member of management.

Knowledge and Experience
- High School Diploma or GED required.
- Demonstrated experience in customer service or office manager role.
- Ability to multi-task required
- Experience with Microsoft Excel required
- Experience with Microsoft Great Plans or other centralized ERP database preferred.
Communication and Reading Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
- Ability to read and interpret documents such as rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Communicates in a clear, professional manner in positive and negative situations, over the phone or radio and in person, and exercises proper telephone etiquette. Communicates with tact and dipolomacy.
Cognitive Abilities: Reasoning, Problem Solving, Analysis
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
- Ability to apply mathematical concepts to practical situations. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

- Ability to operate basic office equipment: copy machine, fax machine, etc.

Experience:
- Previous experience in organizational or office management roles
- Proficiency in calendar management software
- Strong proofreading skills with attention to detail
- Data entry experience with high accuracy rates
- Computer literacy, including proficiency in Microsoft Office Suite
- Familiarity with computerized systems for managing appointments and records
