Under general supervision, performs clerical and secretarial work and provides administrative support to Corrections Personnel. Positions in the classification report to the Lieutenant and perform secretarial and administrative support functions of moderate difficulty.
Essential Duties and Responsibilities:
Greets, interacts and communicates with visitors, contractors, vendors and others in a professional and service-orientated manner.
Answers questions and provides information requiring a good knowledge of department functions and operations.
Provides directional information to the public looking for County office locations, as needed.
Answers multiple-line telephone, directs calls, and takes and relays accurate messages, as appropriate. Operates two-way radio to contact staff in the facility.
Ensures members of the public arriving for inmate visitation are in compliance with posted visitation guidelines.
Retrieves required identification from visitors and assigns visiting booths.
Enters basic information into the jail management system to ensure proper logging of visits.
Coordinates with correctional staff to complete visitation process.
Prepares documents, memos and correspondence.
Conducts audits of various inmate files and notates any missing documents.
Operates office equipment such as personal computers, printers, copiers and fax machines.
Attends meetings and training sessions.
Performs other duties as assigned.
Knowledge, Abilities, and Skills:
Knowledge of clerical procedures, general office operations and records maintenance; knowledge of personal computers and associated software.
Ability to read and obtain basic information from parts and maintenance manuals; ability to follow instructions and perform accurate work as assigned; ability to key data into automated databases in an accurate and timely manner; ability to work effectively with staff, citizens, County officials and others.
Skill in oral communication and interpersonal relations.
Physical Requirements and Work Setting: Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience Required: One year of diversified clerical, secretarial or general office experience.
Certificates and Licenses: None required.
