The Executive Assistant provides critical support to the company's two executives as well as to our small consulting team as a whole. They will provide high-level logistical and administrative support to the senior staff and will serve as a hub of project activity, enabling top notch service, and a better system of care for the state’s children and youth.
The Executive Assistant will:
- Support day-to-day communications with clients, including project status updates, meeting preparation and agendas, meeting facilitation, etc.
- Engage in project management tasks, including development of timelines, GANTT charts and similar materials.
- Performs administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Coordinate scheduling for meetings across several complex and demanding calendars.
- Document internal and external meeting notes with action steps.
- Support task tracking by monitoring and following up on action steps.
- Assist in management of team files, including organizing resources utilized by team members when necessary.
- Perform research related to mental health policies, practice, implementation, or training and provide written summaries of key points to staff.
- Engage with state and county portals as needed for submission of client materials.
- Engage with state level workgroups as an administrative support.
- Draft project documents, templates, presentations, or other materials and proofread documents for accuracy and completeness.
- Coordinate project-based work, including planning, organizing, and implementing tasks
- Attend client meetings, internal project meetings, presentations or training, as appropriate.
- Provide office management support to the headquarters location, including supply orders, coordination with building management and upkeep of the office.
- Other projects/responsibilities may be added in response to the successful candidate’s interests and abilities.
Skills and Qualifications
- Bachelor’s Degree (preferably in a field related to health, psychology or child welfare)
- Preferred experience in a social service organization
- Proven experience as an executive assistant or similar role
- Excellent project management, analytical, time management, and organizational skills
- Very strong written and oral communication skills for a professional audience
- Keen attention to detail and problem solving skills
- Very strong technical skills (MS Office Suite, Google Suite, Project management tools, Online productivity services)

Pay: $32.00 - $36.00 per hour
Expected hours: 40 per week
