Job Responsibilities:
- Manage office procedures, general office coordination, and other tasks as assigned
- Handles day to day tasks as directed;
- Acts as the point of contact among executives, employees, customers, affiliates, and vendors;
- Maintains confidentiality in all aspects of management, employees, customers, and organization information;
- Manages information flow in a timely and accurate manner;
- Manages executives’ calendar, coordinates and arranges meetings, prepares agendas, and records and transcribes minutes of meetings;
- Coordinates special events as required;
- Composes and types routine correspondence, organizes and maintains file system and other records, conducts research and compiles and types reports;
- Assists in coordinating schedules, make appointments, and coordinates travel schedules and reservations;
- Projects a professional company image through in-person and phone interaction.
- Ability to anticipate events and connect dots; being pro-active and thoughtful by anticipating needs prior to being asked.
- Handle regular activities without prompting, and advise in advance with issues or delays
- Proficiency with Zoom video conferencing with ability to draft presentations, meeting minutes/actions, and coordinate oral and written communication for executives; proficiency with Mac and the Google suite of business programs, especially Google calendar, mail, drive, docs and sheets.
- Performs other administrative and project duties as assigned
Job Requirements:
- Bachelor’s degree
- Strong professional verbal and written communication skills
- Advanced Microsoft Office skills (Outlook, Word, Excel, Power Point), Social Media, and advanced internet research skills
- Extremely organized with keen attention to detail. Ability to multi-task effectively and switch focus with ease
- Professional, confident
- Tech savvy.
- Proactive and self-motivated
- Ability to handle confidential company and personal information with the utmost discretion
- Bachelor’s (or higher) degree and experience working with senior executives
- Excellent time management skills, independent worker and good with prioritizing tasks
- Highly dependable person demonstrating good judgement with confidential information
- Flexible, creative and having good judgement in addressing new issues and managing projects
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
