Moss Chiropractic is looking for an Office manager to organize and coordinate administration duties and office procedures for our high volume, fast-paced Chiropractic office. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. 2 years of experience as a Front office manager or Office administrator is required. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
Responsibilities
- Must be able to work the following hours: Monday 7:30 am-12, 1-6 pm, Tuesday 7:30 am- 2:00 pm, Wednesday 7:30 am-12, 1-6:00 pm, Thursday 7:30 am- 6 pm. Occasional Fridays and weekends (seminars)
- Must be comfortable in a fast pace environment - this is NOT a sit-at-a-desk job, you will be moving all-day

Team Roles

Patient Roles
- Manage patient appointment schedule for maximum efficiency and productivity
- Prepare and present care plans with financial options to assist patients with proceeding with care
- Utilize appropriate methods of patient financing
- Bookkeeping - accounts payable and accounts receivable
- Prepare or supervise insurance claims
- Manage daily work assignments
- Serve as liaison to patients concerning complaints
- Take direct action to resolve patient complaints
- Manage and perform front desk duties including patient check-in and check-out, scheduling patient appointments, and handling patient inquiries
- Provide general customer service to patients and visitors
- Organize and update office operations and procedures
- Track and apply practice statistics to manage staffing needs, exceed monthly targets and develop improvement plans
- Continuously review and enhance office protocols and processes to maximize operational efficiency
- Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, errands, shopping
- Maintain the office condition and arrange necessary repairs
- Oversee building and equipment maintenance
- Ensure compliance with laws and regulations - OSHA and HIPAA management and training
- Manage the practice’s marketing plan
- Manage practice information technology (IT)
- Maintain practice software, back-ups and install updates as needed
- Ensure that all items are invoiced and paid on time
- Report any issues to owners promptly to ensure speedy resolution
- Oversee back-office efficiency and completion of duties

Your Skills and Experience:
- Minimum of 2 years experience managing chiropractic or medical practice. Experience managing in chiropractic or another fast-paced, highly interactive customer service atmosphere
- Must believe in the importance of chiropractic care for the overall physical, mental, and emotional wellbeing of the patient
- Must have strong sales and customer service mindset and ability
- Excellent time management, organization, attention to detail, and problem-solving skills while maintaining the ability to multi-task and prioritize work
- Strong organizational skills, attention to detail,
- Excellent written and verbal communication skills
- A creative mind with an ability to suggest improvements
- Expert knowledge of insurance codes and billing practices
- Strong computer skills, knowledge of Microsoft Office programs, and ability to learn new programs
- Experience with Medicare, PI, and other insurances preferred
