Position Summary:
We are looking for an organized and self-motivated Office Manager to join our legal team. As an Office Manager, you will be responsible for providing administrative support to our office personnel. The Office Manager’s role will include working closely with the leadership team by handling clerical duties, coordinating calendars, and organizing meetings.
To be successful in this position you should be detail-oriented, professional and have excellent written and verbal communication skills.
Essential Duties and Responsibilities:
- Overseeing general office operation.
- Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our clients.
- Coordinating and managing appointments, meetings, and the conference room schedule to prevent duplicate bookings.
- Managing staff calendars and schedules.
- Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.
- Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.
- Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
- Purchasing office supplies and equipment and maintaining proper stock levels.
- Producing reports, composing correspondence, and drafting new contracts.
- Responding to emails, and preparing documents, including office correspondence, memos, resumes, and creating presentations and other management-level reports.
· Overseeing the maintenance of office facilities, and equipment.
· Performing other duties as assigned.
Office Manager Requirements:
- High school diploma or a bachelor’s degree in business, administration, or a related field.
- 2 or more years of experience in office administration or management experience.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint and proficiency in accounting/bookkeeping software such as QuickBooks.
· Comfortable handling confidential information.
· Multi-tasking and time-management skills, with the ability to prioritize tasks.

- Demonstrate problem solving skills and improve office efficiency by assisting the leadership team in ensuring maximum productivity of the office staff.
- Effectively engage in teamwork and communication skills in an exciting, engaging, and fast-paced atmosphere while working under direction of our HR Director.
- Exhibit adaptability and dependability while coordinating scheduling, payments, and performing required duties.
- Practice flexibility filling in for Receptionist when needed.
- Bring a great attitude to our office that will allow you to connect and form valuable relationships with our team.
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stand/Sit – Must be able to remain in a stationary position up to 50% of the time.
- Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
- Use of hands/fingers to handle or feel – Constantly operates a computer and other office machinery such as a copy machine/printer.
- Climbs stairs – May occasionally ascends/descends the stairs to get to other floors, cafeteria, and parking area.
- Carry Weight/Lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
