Job Tittle: Office Manager
SUMMARY
The dental receptionist is the first contact point for patients and visitors to our dental offices. At all times the receptionist should command a professional, friendly and polite manner. As part of the dental team the receptionist’s role is to assist in the smooth and efficient running of the practice, to adhere to protocols at all times in line with the company strategy, goals and values.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receptionist is responsible for administering the day-to-day activities of the dental office, including, but not limited to: maintenance of the records of patients, scheduling of patients, account receivable, maintaining appearance and order of dental office, presentation of financial treatment plan options, and recall system. The following is a list of responsibilities and duties of a receptionist:
Reception
o Manage day-to-day operations of dental office
o Open and close dental office according to protocol
o Review the office for a neat, professional appearance and make necessary changes
o Check the daily schedule for accuracy and post it in all treatment rooms
o Answer and respond to telephone calls with professionalism
Patient Management
o Greet and welcome patients and visitors to the practice
o Check in patients according to office protocol, verifying and updating patient information
o Manage recall and inactive patient system
o Confirm the next day’s appointments according to protocol and patient preferences
o Schedule patients for efficient use of doctor and staff time
o Collect payment from patients at the time of treatment
o Make follow-up appointments as needed
o Prepare financial treatment plans and present plan options to patients
Records Management
o Gather and accurately record insurance information from patients
o See that records are stored securely and dandled in compliance with HIPAA privacy and security regulations
o Accurately file patient information
o Track cases and referrals to and from other doctors
Insurance Management
o Update insurance information on all patients at all times
o Submit treatment plans for predeterminations of benefits
o Prepare claim forms for patient with dental insurance
o Organize supporting materials for claims forms, such as radiographs or written narratives , as directed by doctors
o Mail or electronically submit claim forms from office
Other duties and responsibilities might be assigned.
COMPLIANCE RESPONSIBILITIES
Understand and be in compliance with the policies and regulations in the Brite Handbook. Get informed, understand and practice the HIPAA and OSHA regulations. Understand the importance and bi in compliance with immunizations required.
PHYSICAL DEMANDS
Sit for extended periods of time
Dexterity of hands and finger to operate a computer, and other office equipment
Lifting and transporting of moderately heavy objects, such as supplies
Negligible physical hazards
WORK ENVIRONMENT
Interaction with patients of all ages (i.e. pediatric-adults)
Job Type: Full-time
Pay: $16.00 - $23.00 per hour
Expected hours: 30 – 40 per week
