The Administrative Assistant will organize and coordinate new business administration, procedures, and client service items in order to ensure organizational effectiveness and efficiency.
Role and Responsibilities
● Constantly in contact with clients
● Assists in helping clients transfer assets to the practice
● Submits and tracks account applications
● Corresponds with clients on missing information or unanswered questions for new accounts and transfers
● Tracks new accounts and incoming assets
● Maintains and services existing client relationships
● Ensures all client service tasks are completed to client’s satisfaction
● Resolves client issues properly and in a timely fashion
● Occasionally meets with clients to have clients sign forms or while clients complete certain applications
● Maintains updated client information and notes in CRM, to ensure integrity of database
● Maintains and improves existing Account Service processes
● Tracks outstanding business
● Ensures clients are set up with online system access and are knowledgeable of the systems (Account View)
● Ensures client reporting systems receive feeds for new accounts, feeds are renamed if needed
● Prepares for client meetings on a weekly basis
● Special projects, as needed
● Acts on office priorities in a proactive way
Qualifications
- Proficient in Microsoft Office suite, with strong typing skills and experience in data entry and proofreading.
- Excellent customer service and phone etiquette, with a background in administrative tasks and office management.
- Skilled in calendar management, event planning, and project coordination, with a focus on organizational skills and attention to detail.

Pay: From $17.00 per hour
