POSITION DESCRIPTION:
As Administrative Associate, the associate will provide outstanding organizational skills including but not limited to: system access maintenance, schedule management, handling company announcements/communications, providing team support, responding to daily inquiries, and offering project-based assistance to team leaders.
We are looking for a detail-oriented and organized associate with an optimistic attitude, and a willingness to assist the organization, partnered installers, vendors, and consumers/customers. Patience and adaptability are crucial in this fast-changing startup environment.
This role offers high visibility within our fast-growing team, providing an excellent opportunity to contribute to and support the day-to-day operations of the business.
RESPONSIBILITIES

Provide comprehensive executive and departmental administrative support
- Efficiently manage EnFin's merchandise/inventory, overseeing shipping and labeling processes.

Oversee employee onboarding processes including communications, system access facilitation, and company training maintenance.

Manage vendor-related tasks such as invoicing, scheduling, and communications.

Proactively identify areas for process improvement within both administrative and invoicing functions, driving efficiency and accuracy.

Maintain daily comprehensive trackers for real-time visibility and approvals.

Communicate procedural improvements and changes in vendor management to team leaders and executives.

Maintain office logistics, including workspace organization, supplies, and equipment.

Compile and prepare weekly and monthly end-of-month reports for cross-departmental support.

Facilitate and coordinate company events.

Support various projects and ad hoc initiatives with tight deadlines, fostering relationships with cross-functional teams.

Maintain operational record-keeping and weekly meeting deliverables.
REQUIRED QUALIFICATIONS

1-2 years of tangible work experience in an executive administrative role.

Strong priority-driven thinking, excellent written and oral communication skills.

Proficient in negotiating, influencing, problem-solving, and executing deliverable timelines.

Expertise in document control, efficiently managing procedures using SharePoint or similar tools.

Experience in vendor relationship management including invoicing and payment reconciliation.

Proven experience conveying procedural changes to diverse stakeholders, demonstrating strong communication skills and alignment with organizational objectives.
