Job Title: Administrative Assistant to the Superintendent and Assistant Superintendent (Executive Secretary)
Classification: Secretary
Primary Function:
An employee in this class performs a variety of duties requiring the exercise of good judgment and critical thinking skills. This individual is responsible for the management of the Student Information System, training of school secretaries, management of grant reports, drafting all board documents, and assisting HR from time-to-time with administrative responsibilities. This position will require occasional work in the evenings and on weekends.
Accountability: Superintendent and Assistant Superintendent
Qualifications: Minimum of a High School Diploma or GED
Preferred Qualifications: Fluent in Spanish; Bachelor’s Degree
Experience:
- 2-3 years of demonstrated experience as an administrative assistant or secretary ideally in a school district or corporate office
- Demonstrated experience with school student information systems (ideally, Skyward SIS) or database management systems
- Prior experience as a board recording secretary or executive assistant to a school superintendent (Preferred)
Knowledge and Skills
- Positive attitude and demeanor
- Strong advocate for the rights of families
- Knowledge of or experience with student information systems or database management systems
- Excellent reading, writing, and speaking skills in both English (and Spanish preferably)
- Fluency in Microsoft Office Suite (Word, Excel, and PowerPoint) and Google Suite (Docs, Sheets, Forms, Calendar, Gmail, Slides, Drive)
- Strong technological skills
- Strong organizational skills
- Ability to diffuse tense situations

- Serve as the District’s Student Information System (SIS) Administrator by:

Providing training for school secretaries related to the Student Information System;
- Monitoring and performing data entry in the Student Information System;
- Ensuring the accuracy of data in the Student Information System;
- Completing state reports based on information obtained from the Student Information System;
- Serve as Recording Board Secretary for the District and perform all recording secretarial functions including:

Drafting board packets, agendas, and board briefs;
- Scheduling meetings, conferences, and training for board members;
- Managing the board calendar;
- Maintaining board files;
- Facilitating monthly board meetings;
- Taking and transcribing minutes of all meetings;
- Updating board policies;
- Perform duties with an awareness of Illinois State Board of Education mandates, Board of Education policies, and district requirements;
- Foster and maintain positive and effective working relationships with teachers, administrators, support staff, district staff, students, parents and the community; and
- Meet deadlines with time constraints.
