This position handles all agency incoming calls, interface with the general community. The Front Desk Receptionist will conduct intake/admissions of all prospective consumers, in addition to maintaining the appointment schedule of agency physicians and clinical staff; particularly as it relates to initial and follow-up appointments.
Essential Functions Include: Communication
- Screen and route all incoming calls as appropriate in a professional manner.
- Facilitate internal referrals and update excel spreadsheet
- Greet visitors, vendors, and provide direction in a friendly and professional manner.
- Schedule initial and follow-up appointments with prospective consumers.
- Contact consumers to ensure they attend scheduled appointments.
- Contact staff as necessary to facilitate and connect visitors and consumers to the agency.
- Clearly and effectively communicate pertinent consumer information to responsible parties.
- Inform the clinician/assessor immediately of any crisis situations.
- Receive and route incoming postal mail to the appropriate department. Stamp and handle all outgoing mail.
- Perform administrative tasks, copy, scanning and other document gatherings;
- Must be reliable with time-sensitive deadlines and tasks
- Maintain an adequate inventory of office supplies and residential needs and notify the supervisor of low inventory
- Receive donations and prepare a thank you letter for the recipient for President & CEO signature and give to the Executive Assistant
Documentation
- Establish an initial chart re: program enrollment, authorization and consent.
- Schedule consumer intakes, re-authorization and medication evaluations.
- Input appropriate intake data into Electronic Health Records System.
- Run Insurance for active confirmation and verification.
- Medical Records support for retrieval and submission to the requestor.

- Exceptional customer service skills
- Minimum requirement is a high school diploma, Associate degree preferred.
- Knowledge of Electronic Health Records and Scheduling Software preferred.
- Special Skills: Proficient with Microsoft Word, Excel and Outlook. Excellent organizational, problem-solving and interpersonal skills. Ability to prioritize and meet multiple deadlines.
- Bilingual a plus (Spanish)
- Knowledge of Credible Application a plus
Physical Capabilities & Work Environment
- Ability to walk up and down stairs.
- Ability to operate a calculator and computer.
- Current valid driver’s license.
