We are seeking a responsible Office Manager to assist our professional staff with our day-to-day operations on a full-time basis. Your job will be to manage administrative operations and staff and provide clerical support to our professionals.
The Office Manager should be highly organized, a problem-solver, and able to multitask with ease. Ultimately, a successful Administrator will be able to ensure our office procedures run smoothly.
Responsibilities
- Manages the day-to-day administrative operations, communicates expectations, delegates workload, and sets priorities for administrative staff.
- Manage phone calls and correspondence (email, letters, packages, etc.)
- Pay monthly bills in a timely manner and with a high level of accuracy
- Prepare and post payments
- Manage collection letters and any outstanding balances
- Provide management with timely reports and support
- Maintain processes in compliance with company policies and procedures
- Assists employees with payroll system, including recording time and onboarding; verify that all employee time is recorded correctly
- Provide support to funeral directors regarding account balances – calculate discounts, review contracts to ensure accuracy with cash advances
- Manage customer accounts and arrange for payments, explain balances and discounts when needed
Requirements
- Proven experience as an Office Manager, Administrator or relevant role
- Minimum of 5 years in an office environment
- Bookkeeping or relevant experience preferred
- Familiarity with office procedures and policies
- Proficient using Microsoft Suite; ability and willingness to be trained on new software
- Strong organizational and time-management abilities
- Good written and oral communication skills
- Problem-solving attitude with an eye for detail
- Excellent interpersonal and customer service skills, (in person and on the phone), professional demeanor. Includes the ability to interact with customers to resolve escalated issues.
- Experience with cash handling or payment processing
- High school diploma
