McAlpine is hiring a Part-Time Administrative Assistant to complement its current Atlanta team. This will be a part-time position, four - five hours a day. Hours can be flexible during normal business hours. We are looking for an individual with excellent administrative skills and a positive outlook.
Responsibilities:
- Answer the phone – polite in all circumstances, can appropriately route calls.
- Keep office supplies and snacks stocked.
- Organize office maintenance through ADAC, cleaning service, plumber, etc.
- Organize equipment maintenance through Greg Hickman IT, Xerox, Plotter Repro company.
- Prepare office for client meetings – organize flowers, drinks, meals (both ordering and plating), etc.
- Organize office events – coordinate catering, valet parking, etc.
- Maintain regular communication with Montgomery office and ad hoc communication with Nashville and New York Offices.
- Organize staff travel.
- Inform staff of calendar updates
- Research items such as zoning codes, product information, and other items as needed.
- Type meeting notes and client lists, prepare client binders for Project Architects
- Other duties as assigned by management.
Qualifications:
- Strong administrative and organizational skills required.
- Excellent communication skills, both verbal and written
- MS Office (Excel, Word and Outlook)
- Adobe Acrobat
- Ability to prioritize tasks with little supervision.
