Overview:
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will have experience in calendar management, office management, administrative tasks, budgeting, and possess strong clerical skills.
Description: This full-time position is comprised of general office, administrative and accounting support functions. The ideal candidate will coordinate and handle a wide range of activities and support-related tasks to ensure organizational efficiency and effectiveness.
This office professional will be well-organized and keep the office running smoothly, assist managers and provide accounting support on a day-to-day basis. We value flexibility, autonomy and transparency. General Office & Administrative Support Duties: · Serve as the point person for office and administrative duties including, but not limited to:
§ Mailing
§ Supplies
§ Filing / Scanning / Copying
§ Equipment
§ Fielding phone calls and taking messages
§ Gate access
· Greet and provide general support to visitors.
· Schedule meetings, appointments and/or travel plans for the Management team
· Perform HR functions to update/maintain files and office policies as necessary
· Perform HR functions in the onboarding process for new hires
· Liaise with facility management companies; cleaning, uniforms and security services
· Plan in-house or off-site activities, like luncheons, parties, celebrations and conferences
· Request quotes and source repair materials to complete maintenance on customer assets
· Prepare work order quotes and ensure customer has all information to make repair decisions
· Prepare Work Orders for close-out and scanning, ensuring documents are uploaded and filed.
· Continuous improvement of office and administrative procedures.
· All other duties as assigned.
Accounting Duties: The accounting support role involves performing accounting tasks and activities under the direct supervision of the Controller. The main duties are listed below: · Perform daily Accounts Payable (AP) bookkeeping tasks in a timely manner.
· Capture, scan, process incoming Vendor Invoices & enter them into the accounting software.
· Monthly vendor statement reconciliations, identify & obtain missing invoices.
* Check accuracy of figures in all documents, troubleshoot, report and resolve any discrepancies.
· Address and respond promptly to vendor inquiries.
· Perform monthly reconciliation of credit card statements & the related tasks.
· Communicate & build relationships with vendors, maintain vendor files and vendor database.
· Collaborate with other departments to perform or decipher receiver reconciliations.
· Data Entry of accounting information, inventory counts and other records.
· Proof read and double check own work for accuracy.
· Preparation of aging, expense or other accounting reports as needed.
· Assist or support in Accounts Receivable (AR) duties as needed.
· Make deposits of checks received in mail.
* Gather, scan, copy documents and provide support for audits as needed.
Requirements & Skills · Proven experience as an Office or Administrative Assistant or Manager, Front Office Manager or similar role. · 1-2 years’ experience in Accounts Payable or General Accounting. · Knowledge of fundamental accounting principles, familiarity with GAAP a plus. · High degree of accuracy, attention to detail · Excellent time management and organizational skills. · Ability to work independently, multitask and prioritize tasks. · Strong analytic and problem-solving skills. · Proficiency in MS Office Suite (MS Excel and MS Outlook, in particular) · Excellent written and verbal communication skills, with fluency in the English language. · Possess creativity and initiative with an ability to suggest improvements.
· High School diploma; additional qualifications in accounting, administration or business will be a plus.
