Success Rehabilitation is a residential and day treatment rehabilitation program for adults with traumatic brain injury.
We are looking for a Human Resources Administrative Assistant/Scheduling Assistant to join our HR team!
The Human Resources Administrative Assistant/Scheduling Assistant (HRAA/SA) is responsible for administrative & scheduling duties related to the operation for Success Rehabilitation’s Human Resources Department & Scheduling Team.
The HRAA/SA will support the HR Representative with recruiting, hiring, and onboarding; and will also support both the Training Coordinator & Scheduling Supervisor in the scheduling of training courses and staff schedules.
Reports to: Human Resources Representative/Director of Human Resources
JOB RESPONSIBILITIES:
- Answers and directs departmental phone calls. Provides backup for Success Rehabilitation’s Receptionist as needed.
- Responds by email or phone to applicants.
- Schedules and organizes appointments, interviews, video meetings, etc. to support the hiring process.
- Supports the Scheduling Supervisor in scheduling direct care staff, client appointments, vocational placements, community activities and transportation to meet facility, state, and licensure requirements. Serves as primary backup to Scheduling Supervisor.
- Track applicants through the hiring and employment process.
- Produces reports, as needed, on recruitment and retention.
- Serves as primary backup to Staffing Supervisor.Supports the onboarding process as directed.
- Processes required paperwork for employee transfers, changes in job classification, and other related employment matters.
- Maintains accurate and up-to-date human resource files, records, and documentation. Ensures the integrity and confidentiality of human resource files and training records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Conducts or assists with new hire orientation.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to HR Director.
- Assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Supports the Training Coordinator in the scheduling of training courses, preparation of documentation and maintaining the training databases.
JOB QUALIFICATIONS:
- High school diploma required. Associate degree in related field preferred.
- Minimum one (1) year experience in administrative assistant role preferably in a Human Resource or confidential setting.
- Minimum one (1) year of experience with scheduling at least 100 employees.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills; able to manage multiple priorities and adapt quickly to changing staffing needs
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn human resource information system (HRIS), and/or similar computer applications.
- Detail-oriented with the ability to problem-solve, follow directions, and complete work efficiently and correctly with minimal supervision.
- Must have reliable transportation.
