We are seeking a highly organized and experienced individual to join our team as a Orthodontic Clerical Office Manager. This key position is responsible for overseeing the day-to-day operations of our orthodontic dental practice, ensuring smooth workflow, exceptional patient care, and efficient administrative processes. The ideal candidate will have a strong background in office management, preferably in a dental or healthcare setting, and possess excellent leadership and communication skills.
Responsibilities:
Manage the overall operations of the dental office, including staff scheduling, patient flow, and resource allocation.
Implement and maintain efficient administrative systems and procedures, ensuring compliance with relevant regulations and protocols.
Supervise and provide leadership to office staff, including training, performance evaluation, and fostering a positive work environment.
Coordinate and oversee patient scheduling, ensuring optimal use of available appointment slots and managing any scheduling conflicts or emergencies.
Maintain accurate and up-to-date patient records, including medical histories, treatment plans, and insurance information.
Collaborate with dental professionals and staff to ensure smooth patient care, effective treatment planning, and timely follow-up.
Monitor and manage the office budget, including tracking expenses, analyzing financial reports, and implementing cost-saving measures.
Handle patient inquiries, complaints, and issues promptly and professionally, ensuring exceptional customer service.
Manage inventory and ordering of office supplies, dental materials, and equipment, while maintaining cost-effective inventory levels.
Qualifications:
Previous experience in office management, preferably in a dental or healthcare setting, with a strong understanding of dental procedures and terminology.
Proven leadership skills with the ability to motivate and manage a diverse team.
Excellent organizational and multitasking abilities, with exceptional attention to detail.
Strong interpersonal and communication skills, both verbal and written, to effectively interact with patients, parents, and staff.
Proficient computer skills in Microsoft Office suite.
Knowledge of insurance policies and billing procedures.
Familiarity with relevant regulations, such as HIPAA and OSHA, and adherence to compliance standards.
Ability to maintain confidentiality of patient information and sensitive documents.
