Responsible for providing Administrative Assistance to Management, and Administrative Staff at CMS, Inc. Work includes coordination of a variety of support tasks for the office. Incumbents must exercise a high level of confidentiality, effective time management, and be self-directed, needing minimal supervision. Effectively manage the front office and treat everyone with dignity and respect.
Position responsibilities:
- Answer switchboard; respond timely to voicemails and emails; make photocopies; fax and distribute incoming and outgoing mail and email.
- Create all correspondence for organization, i.e. monthly staff schedule, activity schedule, legal documents, and resident clothing vouchers. Edit, and proofread material for accuracy, completeness, grammar, and formatting before submission.
- Input Incident Report information on MCIS and download information/reports from the system.
- Prepare reports for agency as requested, i.e. vacancy list, facility licensing and forms.
- Manage distribution of committee reports (Human Rights, Incident Management Committee, and Safety/Infection Control).
- Organize and maintain company files - hard copy and public drive.
- Display a welcoming and enthusiastic attitude and ensure the front office is clean and inviting at all times. Ensure upkeep of the copier and phone system.
- Organize, and assist with office meetings, parties and events as needed.
- Compiles information for and prepares a wide variety of reports;
- Arranges for conferences, including space, time, and participants;
- Organize and sort mail, faxes, and deliveries;
- Maintain the conference room schedule;
- Maintain appropriate interpersonal relationships with employees, peers, and individuals.
- Comply with all CMS and DDS regulations and policies and attend all CMS and DDS required meetings and training as needed.
- Ability to work as a team player.
- Dress professionally at all times.

Essential skills and experience:
- Bachelor Degree preferred
- Successful completion of a Physical and Criminal Background Check
- Five years office administrative experience and computer skills (i.e. knowledge of Microsoft Office Suite)
