Facilities & Construction Coordinator
The Facilities & Construction Coordinator supports our Facilities and Construction Team. The role involves tracking open tickets in Service Channel, the SAS platform we use to manage our facilities program. It also consists of tracking all costs across Facilities and Construction, creating P/Os and processing invoices, and providing weekend coverage for Facilities that support our 92 Hair color bars. The role also supports other miscellaneous projects in relation to other activities the department covers. The coordinator is the key administrative professional on the team.
The ideal candidate will be obsessed with organization, administration, processes, and systems. They must be energetic, a self-starter, deadline-driven, and detail-oriented. They will also need to be able to communicate with all levels of individuals within and outside the organization while successfully managing multiple tasks.
Reporting to the Assistant Project Manager, Facilities, Construction and Design, the base salary range for this position is between $65,000-70,000. At Madison Reed, we aim to pay competitively; factors which may affect starting pay within this range may include geographic location, skills, education, experience, and other qualifications of the successful candidate.
Role Responsibilities:
- Have a deep understanding of the service channel platform and monday.com.
- Daily tracking of service channel tickets and follow-up when national information is required.
- Support the coordination of refresh projects with local staff and manage the project to ensure no disruption to the store's operation.
- Track all costs to department budgets.
- R&M budget ensuring monthly alignment of numbers with Finance.
- Capex tracking for all small projects.
- Capex tracking for all new builds.
- Receive, review, and track all vendor invoices, submit them to accounting, and approve them through Netsuite/Bill.com.
- Maintain all contracts, drawings, permits, and certifications per project.
- As part of the lease exhibits, provide the Landlord with renderings, fit plans, project materials (as requested), and signage submittals.
- Set up all initial utilities for new Hair Color Bars.
- Any other tasks as requested.
Qualifications:
- Minimum 3 years of administrative and/or project coordination experience.
- Must be able to meet deadlines, keep schedules, and perform at a high level in a fast-paced environment without compromising quality.
- Strong attention to detail and excellent with numbers.
- Advanced skills in Microsoft Office, Excel, and Google Docs/Sheets.
- Experience with service channel and Monday.com
- Strong interpersonal skills and takes direction well.
- Ability to work autonomously, take direction, and effectively under pressure.
- Ability to travel as needed.
