Local commercial HVAC construction company is seeking a qualified Front Desk Administrative Assistant to join our team. This position plays an important role in the company. This is the first person any and all visitors will meet. For the right candidate this position has growth potential into our Project Administrator roles.
The ideal candidate should have excellent attention to detail, organizational abilities, time management skills, communication skills, and must represent our company in a professional manner.
Essential Duties and Responsibilities:
- Greet and direct all persons entering the organization and direct them to correct destination
- Answer, screen, and direct company phone calls
- Record and relay messages, if necessary, for all departments
- Ensure knowledge of staff presence and absence throughout the day, including lunch breaks
- Provide general information to callers and address general inquiries from customers and the public
- Prepare documents and presentation materials
- Receive and sort mail and package deliveries
- Maintain a tidy reception and conference room area
- Maintain company office phone directory
- Call vendors for service on office equipment when EA is out of the office
- Manage inventory of office supplies and supply room
- Respond to generic emails
- Maintain and manage the mail machine
- Help maintain office calendar
- Assist with project based administrative duties to support Accounts Payable, Receivable and Closeout
- Perform data entry and filing tasks
- Perform other clerical tasks as needed
Education and/or Skill Requirements:
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Knowledge of customer service principles and practices
- Knowledge of administrative and clerical procedures
- Computer proficiency - Internet, (MS Office – Word, Excel and Outlook), AND relevant software applications
- Ability to operate office equipment, including fax, copy, and postage machine
- Must be organized, a planner and proactive versus reactive.
- Must be detailed oriented.
- High school diploma or GED required; prefer some college.
- Must be able to talk, listen, and speak clearly on telephone
- Must be able to lift and carry up to 10 lbs.
- Must be able to sit for 8 hours each day
- Maintain good attendance.
