We are currently seeking a dedicated and experienced Assistant Office Manager to join our dynamic team.
Job Description: As the Assistant Office Manager, you will play a crucial role in ensuring the smooth operation of our office. You will support the Office Manager in managing daily administrative tasks, coordinating office activities, and maintaining an efficient work environment. Your organizational skills and attention to detail will be essential in helping us deliver high-quality service to our clients.
Key Responsibilities:
- Assist the Office Manager in overseeing daily office operations and administrative functions.
- Coordinate office activities and schedules to ensure optimal workflow.
- Manage office supplies inventory and place orders as necessary.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Maintain office files and records in a systematic and confidential manner.
- Support the onboarding process for new employees and provide necessary training.
- Ensure compliance with office policies and procedures.
- Assist in organizing meetings, conferences, and firm events.
- Provide administrative support to attorneys and staff as needed.
- Perform other duties as assigned to support the overall efficiency of the office.
Qualifications:
- Experience: A minimum of 2 years of experience working as an office manager for a law firm
- Language: Bilingual in Spanish and English
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to multitask and prioritize tasks effectively
- Detail-oriented with strong problem-solving abilities
- Personal Injury: Knowledge of personal injury law is a plus
- Availability: Must be willing to work on-site at our office in Los Angeles Monday - Friday. This is not a remote or hybrid position and it's 100% on-site.
