The Executive Administrative Assistant is responsible for providing comprehensive administrative support to the General Manager, Director of Membership, and Human Resources department. This role requires a detail-oriented, organized professional with excellent communication skills and a strong customer service orientation. The ideal candidate will be proficient in Microsoft Office Suite, have a good understanding of membership processes, and possess the ability to handle confidential information with discretion.
QUALIFICATIONS and RESPONSIBILITIES
Duties include but are not limited to the following: Essential Duties and Responsibilities:
- Membership Support:
- Assist the Director of Membership with all membership-related activities and initiatives, including board meetings, agendas, and scheduling.
- Manage and maintain accurate membership records using the Northstar system.
- Provide exceptional customer service to all members and prospective members, ensuring their needs and inquiries are promptly addressed.
- Understand and effectively communicate the membership sales process, club bylaws, and standing rules to prospective and current members.
- Support the planning and execution of membership events and activities to engage current members, including new member orientation.
- Collaborate with other departments to ensure a seamless experience for members.
- Generate membership reports and provide insights and recommendations for membership growth and retention.
- Provide member packets for new members.
- Administrative Support for General Manager:
- Manage the General Manager’s schedule, including arranging meetings, appointments, and travel arrangements.
- Prepare and distribute meeting agendas, minutes, and other related documents.
- Assist in the preparation of reports, presentations, and other documents as needed.
- Handle confidential information with discretion and maintain the highest level of professionalism.
- Human Resources Support:
- Assist the Director of HR with various administrative tasks, including maintaining employee records, scheduling interviews, and coordinating new hire orientations.
- Support HR initiatives and programs, such as employee engagement activities and training sessions.
- Handle confidential HR information with the utmost discretion and professionalism.
Minimum Qualifications and Skill Requirements:
- Experience: At least 2 years of administrative experience, preferably in a membership-based organization or hospitality industry.
- Technical Knowledge: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Experience with Northstar or other membership management software is a plus.
- Customer Service Skills: Strong customer service orientation with the ability to interact professionally with members, guests, and staff.
- Organizational Skills: Exceptional organizational and time-management abilities to prioritize tasks and meet deadlines.
- Communication: Excellent verbal and written communication skills.
- Attention to Detail: Meticulous attention to detail to ensure accurate record-keeping and effective communication.
- Problem-Solving: Strong analytical and problem-solving skills.
- Professionalism: Ability to handle confidential information with discretion and maintain a high level of professionalism.
